Gleason – Job Summary: The Director of Parish Operations supports the Pastor and staff of Saint Matthias Parish by overseeing the parish’s physical and financial resources, ensuring that all ministries and administrative functions operate efficiently. As a committed person of faith who upholds Gospel values and responsible stewardship, the Director of Operations plays a key role in helping the parish fulfill its mission. Essential Responsibilities: The Director of Operations is responsible for managing the business and financial affairs of the parish. This individual serves as the primary liaison between Saint Matthias Parish and the Office for Parish Service and Support (OPSS) of the Archdiocese of Philadelphia, which provides bookkeeping services. This role requires professional expertise in multiple areas—such as accounting, human resources, facilities management, and supervision—and relies on strong independent judgment. Key responsibilities include: • Collaborate with OPSS on the coordination and management of the annual parish budget., • Supervise the Facilities Manager and the Sacristan/Custodian., • Work with the Finance Council and Facilities Manager to develop and execute short- and long-term maintenance plans for parish buildings and property., • Create and maintain personnel files., • Develop and review employee job descriptions in collaboration with the Pastor., • Create and implement an Employee Handbook., • Track sick days and paid time off (PTO)., • Collect and report employee timesheets to OPSS weekly., • Administer all employee benefits, including health, dental, vision, disability leave, vacation, sick leave, FMLA, and workers' compensation., • Provide indirect supervision to:, • Parish Secretary, • Director of Parish Faith Formation, • Parish Center Staff, • Rectory Staff, • Assist the Pastor with recruitment, hiring, staff counseling, terminations, and restructuring., • Support implementation of personnel policies as directed by the Pastor and Archdiocese., • Conduct or assist with periodic employee evaluations., • Oversee weekly collections, including Sunday offerings and second collections., • Establish and supervise counting teams, ensuring proper protocols., • Ensure timely deposit and reporting to OPSS, • Submit all invoices, bills, and financial documents to OPSS with appropriate documentation and payment., • Reconcile monthly credit card statements., • Improve and standardize office procedures for expenses, reimbursements, and approvals., • Schedule quarterly Finance Council meetings, coordinate OPSS participation, and serve as council secretary., • Support OPSS in preparing the annual parish budget., • Assist in donor correspondence, donor inquiries, and annual Parish Appeal coordination., • Serve as the primary liaison for The Goddard School and oversee lease agreements., • Coordinate with the Parish Facilities Supervisor for all Parish rentals and facility contracts., • Work with the Parish Secretary to maintain a comprehensive Parish Master Calendar., • Oversee parish facilities, maintenance contracts, and grounds in partnership with the Facilities Supervisor., • Collaborate with the Facilities Manager to maintain parish property and infrastructure., • Build and maintain effective working relationships with the Pastoral and Finance Councils., • Is a practicing Catholic in good standing., • Ideally holds a bachelor’s degree in human resources, finance or church management, or its academic equivalent., • An understanding of the dynamics of parish life and the relationship of a parish to the Archdiocese of Philadelphia., • Is skilled in general administration, decision-making, delegation of tasks, negotiation and conflict resolution;, • Strong communication and interpersonal skills., • Is aware of the Church’s tradition of stewardship and can invite and empower parishioners into a collaborative participation in parish life, • Time management and organizational skills with a proven ability to meet deadlines., • Proficiency in the use of relevant technology., • Ability to work professionally and collaboratively with the Pastor, to whom the Director reports., • Has a minimum of 3 years’ experience in relevant fields., • Is committed to participation in Diocesan and/or other programs that will enhance and continue his/her professional development in the diocesan context, • Based on experience, • This is a twelve (12) month part-time position, • Flexible working hours
