The Executive and Brand Strategy Team exceeds the parameters of traditional consulting, offering a comprehensive blend of innovative thinking, marketing vision, and strategic partnerships and planning. OVERVIEW The Executive Assistant/Coordinator position provides comprehensive support to the West Coast Executive & Brand Strategy team, as well as helping with scheduling for two senior executives. The ideal candidate should have 1-2 years of experience and must be a confident communicator, problem solver and demonstrate a level of maturity, discretion, and presence necessary to work with all levels of executives and personality types. Candidates must be particularly well-organized, detail-oriented, flexible, AI-curious, and able to work proactively and independently within a team, and enjoy the challenges of supporting a busy division. Must respond expeditiously to diverse assignments, take responsibility for tasks from beginning to end, and consistently operate with a sense of urgency without losing sight of the details. The ideal candidate has a genuine interest in marketing, brand storytelling, and strategic partnerships, and demonstrates the ability to interact with staff, clients, and external partners in a fast-paced environment—often under pressure—while maintaining professionalism, discretion, and confidentiality at all times. RESPONSIBILITIES • Provide administrative support including scheduling meetings, booking limited travel, processing time cards and expenses, preparing meeting materials, and coordinating logistics for events and other team gatherings, • Take detailed notes during calls and meetings, capturing key takeaways and clear next steps, • Track project deliverables and timelines to ensure deadlines are met, • Draft slides, meeting summaries, and other supporting documents for team use, • Collaborate with internal teams to gather information, manage expectations, and maintain clear communication, • Monitor social media to identify emerging trends and cultural moments, • Contribute to the ideation and creation of materials for client projects and presentations, • Maintain and update the executives’ relationship network, including contact mapping, check-in emails, and scheduling meetings or lunches, • Demonstrate a solid understanding of client businesses, industries, and key marketing channels, strategies, and trends, • Support day-to-day department operations by reviewing relevant publications and flagging noteworthy articles or insights OFFICE RESPONSIBILITIES (The below will be done in conjunction with other department assistants) • Help open the office on Tuesdays, Wednesdays, and Thursdays, or as needed, • Greet all guests, messengers, and clients with a bright and friendly disposition, • Monitor, order and stock all office / kitchen supplies, • Act as primary contact for external office vendors, including maintenance vendors. SKILLS/QUALIFICATIONS • Passion for creative content, brands, technology, entertainment, pop culture, AI, and marketing, • 1–2 years of relevant professional experience, • Positive, can-do attitude with a resourceful approach to problem-solving, • Strong communication and interpersonal skills; exceptional writing and presentation abilities, • Proven ability to handle confidential information with integrity, • Highly organized and detail-oriented; able to manage multiple projects and deadlines in a fast-paced environment, • Skilled at creating visually compelling presentation decks that communicate key messages clearly, • Strong analytical and research skills, • Comfortable working independently and collaboratively with minimal guidance, • Proficient in Google Workspace (Docs, Sheets, Slides); familiarity or interest in learning platforms such as Canva, Figma, and InDesign The Spirit of Full Picture We take great pride in everything we do to nurture the well-being of our employees - from a comprehensive benefits program and flexible work arrangements to a strong focus on company culture with ongoing skill-building and wellness opportunities.
