Job Description The Role: We’re looking for an experienced Administrative Specialist or Office Manager to take full ownership of our administrative functions and transform our paper-based workflows into a streamlined, efficient system. This is a pivotal role for a detail-oriented problem-solver who excels in small business environments and can implement lasting operational improvements. QuickBooks experience is essential. Key Responsibilities: • Overhaul and digitize paper-based processes (invoicing, scheduling, client records), • Manage daily operations: scheduling, client communications, bookkeeping (e.g., QuickBooks), and vendor coordination., • Design and implement efficient systems to track projects and optimize operational flow., • Maintain organized, compliant records and ensure adherence to local regulations., • Partner with the owner on ad-hoc tasks to keep the business agile and responsive. What You Bring: • 5+ years of administrative or office management experience, ideally in a small business (construction or similar industries preferred)., • Proven track record of reorganizing paper-heavy workflows and implementing efficient, scalable systems., • Proficiency in QuickBooks, MS Office, and/or CRM tools; familiarity with digitization software (e.g., DocuSign, Trello) a plus., • Exceptional organizational skills, keen attention to detail, and a proactive, independent mindset., • Based in Charlotte, NC, with reliable transportation.
