The Operations Supervisor’s responsibilities include but not limited to – planning, assigning, and directing work; addressing complaints and resolving problems; coordinating product flow from the storage facilities to the customers; utilizing proper transportation and scheduling that is compliant with DOT regulations. The Operations Supervisor will oversee a combination of drivers, service technicians and yard hands within a well-defined territory. Next to this, they will carry the responsibility for the well and safe operation of the bulk storage facilities, as well as the cylinder dispensers and/or depots. Lastly, they will be site chief for the manned sites (where customer care agents are present). This includes the wellbeing of the agents but excludes the supervision of the job execution of those customer care agents, which is the responsibility of the customer care supervisor. This includes (but is not limited to): • Help determine the necessary resources needed in distribution and technical services to meet customer needs., • Recruit, interview, select, train, and motivate their direct reports., • Provide training for drivers on handheld computers to ensure the proper use and correct completion of deliveries., • Provide technical training for service technicians to ensure execution of their tasks., • Provide clear instructions and training to yard hands to assure seamless execution of the cylinder filling, yard maintenance and in cases technical assistance. This includes (but is not limited to): • Monitor Driver Logs and DVIR’s daily to assure that drivers comply and meet regulations., • Organize and manage day to day operation of distribution and service technician personnel to ensure a high level of customer service., • Schedule transportation for all runs to depots and communicate needs to the production facility., • Prepare, approve, and process payroll for staff., • Ensure proper expense control for each driver and service tech., • Manage and be responsible for the district budget and financial statement. This includes (but is not limited to): • Test new drivers to ensure that the proper paperwork is completed before they are released to drive independently., • Maintain delivery equipment to meet company standards and comply with DOT regulations., • Audit vehicle paperwork and inspect depots for compliance., • Maintain DOT vehicle files for each piece of equipment and maintain equipment according to DOT regulations and company procedures. This includes (but is not limited to): • Communicate route needs and changes daily to Routing Coordinators., • Conduct Month end inventories to include propane, fuel, cylinders, cages and parts. This includes (but is not limited to): • Ensure schedules are maintained to keep deliveries on schedule to meet customer expectations, • Understand the local customer base and how the operations team can help satisfy the demands, • Locally partner with Customer Service to understand and act upon customer requests. Essential Functions • Effectively manages pending patients (new & renewal) through the documentation & authorization process, • Properly review, research & prioritize pending orders to make most effective use of time, • Serves as a concierge to key accounts, representing Sentido in key communications, • Create weekly routes with recurring calls via Outlook, to complete all required physician calls, • Organizes and completes expected face-to-face calls and telephone contacts within the specified shift; maintains accurate records of calls and call results in Outlook, • Follows specified instructions in the delivery of patient protected health information, sales messages and marketing material, • Participates in educational meetings and events as directed, • Function as patient ombudsmen to facilitate timely service to our clients and to provide solution of any issues or conflict relating to the same, • Identify new business (sales & marketing) opportunities within call points & key accounts, • Maintain an on-call schedule with team members in your territory to ensure proper coverage for after hour calls., • Accurate and timely documentation in Brightree and other systems, • Effectively communicates to patients and referral sources alike regarding patient education and documentation communication with referral source, • Maintains clean vehicle and up to date insurance and registration, • Adequately schedules route for the day, • Adequately stores patient information in accordance to HIPAA Regulations, • Maintains presentable appearance for patient contact, • Maintains adequate par levels of supplies in vehicle, • Properly follows PPE Guidelines, • Maintain CMN tracking report to ensure timely completion, • Experience recognizing the needs and concerns of individuals, • Effectively communicate orally and in writing, • Ability to follow verbal and written instruction, • Professional telephone & email etiquette, • Able to work in fast-paced, self-directed environment., • Detail oriented with excellent time management skills., • Decision-making, problem resolution and creative thinking skills., • Responds well to multitasking while providing exceptional customer service, support and responsiveness, • Should be honest, competitive, energetic, enthusiastic, professional and systematic., • Bachelor’s Degree or equivalent experience None Work Environment Field, Office or home office Physical Demands Able to lift and carry up to 20lbs Position Type/Expected Hours of Work This is a full-time position.
