Overview: ACS Professional Staffing is looking for an employee to work on-site with our client. This Program Support Specialist 1 will provide program and administrative support across performance management, training, staffing, and daily operations, serving as a Workday subject-matter resource for managers and staff. The role coordinates performance plans, reporting, documentation, calendars, meetings, travel compliance, and records management while maintaining SharePoint sites and tracking systems. Responsibilities include data analysis, reporting, employee engagement and recognition support, and leading administrative processes and teams. Qualified candidates will have mid- to high-level operational or customer support experience, strong Workday and SharePoint skills, advanced document management abilities, and demonstrated editing, proofreading, and professional written and verbal communication skills. This full-time position is located in Vancouver, WA. Provide technical expertise, guidance, and training to managers, administrators, and employees on Workday functionality, workflows, and performance management processes. Support the full annual performance management cycle, including scheduling and tracking required meetings, maintaining documentation, managing plan routing and updates, monitoring progress reviews and advisory plans, and ensuring timely closeout in compliance with Information Governance and DOE requirements., • Generate reports and analyze staffing, budget, and training data; identify trends and issues; and provide recommendations to ensure compliance with established timelines. Support resolution of performance plan anomalies, including plans on hold, changes in rating or reviewing officials, and reassignment tracking to ensure all employees maintain completed and graded annual plans., • Support OT training programs by communicating requirements and opportunities, tracking and analyzing completion data, identifying deficiencies, correcting reporting errors, and managing external training and conference requests. Provide routine reporting to management on training status and recommendations. Support employee engagement and recognition initiatives by preparing action plans, tracking deliverables, processing federal award requests, coordinating recognition events, and providing technical guidance to administrative staff., • Support OT staffing plans by analyzing workforce data, developing custom tracking tools, providing staffing level insights to leadership, and coordinating position movement with Human Resources to meet mission requirements. Coordinate daily operations for OT leadership by tracking priorities, meetings, delegated tasks, action items, and time‑critical responses; provide data, documentation, and process maintenance; and alert management to risks or delays., • Create and maintain executive office procedures, communication plans, correspondence, SharePoint sites, document repositories, calendars, and tracking systems. Monitor inboxes, route communications, follow up on action items, and verify completion. Provide technical expertise for OT travel compliance by verifying adherence to company, DOE, and federal regulations and conducting internal audits., • Provide confidential administrative and clerical support to OT leadership and staff, including document drafting and review, correspondence management, meeting coordination, minutes, visitor reception, phone coverage, mail processing, records management, and SharePoint content maintenance. Serve as liaison across organizations and provide administrative guidance to lower‑level support staff., • Lead and mentor an administrative team of 6+ CFTE staff by coordinating meetings, standardizing processes, developing and maintaining SOPs and desk manuals, and training new staff. Ensure consistent application of administrative procedures across the organization., • Manage executive calendars and schedules; organize and support meetings, interviews, events, and training; prepare agendas, briefing materials, and background documentation; track action items; and coordinate follow‑up. Support BFTE and CFTE personnel actions including onboarding, retirements, telework agreements, driver authorizations, overtime tracking, time and attendance, training registration, Fieldglass processing, and staff recognition., • Coordinate domestic and international travel arrangements and Concur processing; validate authorizations and vouchers; track approvals and reimbursements; and ensure compliance with federal travel policies. Serve as timekeeping power user and verify accuracy and timeliness of reported time., • Coordinate with HCM, IT, security, facilities, safety, motor pool, workflow, and administrative services to support onboarding, equipment, office moves, supplies, asset management, and accident reporting. Maintain Tier II and Tier III SharePoint sites, leave calendars, digital filing systems, and official records in compliance with Information Governance & Lifecycle Management (IGLM) standards., • Support organizational‑specific responsibilities including maintaining a paper‑free executive office using OneNote, serving as Sunflower designee for asset tracking, and assisting leadership with reorganization activities and associated documentation. Requirements: • A degree in Business Administration, Business Management, Business Operations (or closely related field) is preferred., • With an applicable Bachelor’s degree, 1 years of experience is required., • With an applicable Associates degree, 3 years of experience is required., • Without an applicable degree, 5 years of experience is required., • Experience should be workplace experience in mid/high-level, process-driven Customer Service or Operational Support positions and be progressively more technical in nature, • Intermediate to advanced skills/experience with SharePoint sufficient to:, • Support, manage, edit, and maintain site, • Familiarity with Visio and MS Project is preferred, • Demonstrated editing and proofreading skills, • Verbal and written communications skills with demonstrated tact, diplomacy and discretion., • Valid U.S. Driver’s License is required.
