Job Description Position Summary Inside Out LLC (IO), our female-founded visionary platform, seeks a highly skilled and strategic thinker to become an Executive Associate supporting our Chief Financial Officer. This role demands a proactive and resourceful professional who thrives in a fast-paced, unstructured, and informal environment and is excited to partner closely with the CFO and their team to maximize efficiency and impact. Working alongside our CFO, the successful candidate will optimize their productivity and decision-making capabilities, with a focus on establishing efficient workflows and communication strategies. This is not a traditional supporting position: it requires critical thinking, natural curiosity, an attention to detail, foresight, and the ability to proactively act as a trusted collaborator. Cultural fit is essential with the CFO, finance leaders, and the broader mission-focused IO team spanning several continents. The ideal candidate will be eager to learn the CFO’s working style and preferences to create a strong partnership. As necessary, you will need to communicate clearly and diplomatically with their voice, collaborating with executive leadership and operational teams across a multinational organization spanning retail products, manufacturing, consulting, and advanced research sectors in the United States, Europe, New Zealand, and Canada. The successful candidate will not only execute tasks but also provide strategic input to enhance business outcomes, understand stakeholder requirements, anticipate needs, and navigate complex priorities with precision and discretion. While IO is currently in accelerated growth mode, it already has a professional yet nimble finance team that leads tasks both within and outside of the finance function - the successful candidate will become a key component of that team. The position is remote and may require travel within the United States and various other countries, depending on business needs. For purposes of time zone efficiencies with the CFO and finance team, a candidate residing in California or within the Mountain or Pacific time zones is preferred. Key Responsibilities * Strategic Ally: Serve as a thought partner providing insights, anticipating needs, and offering solutions to ensure the successful execution and delegation of priorities. * Strategic Calendar & Task Management: Own, manage, and strategically anticipate and prioritize the CFO’s internal/external calendars, tasks, and priorities, in close communication with the CFO to ensure alignment with key objectives and working style. * Information & Workflow Management: Create and maintain systems for capturing, organizing, and presenting critical information in a clear, concise, and accessible manner to facilitate swift decision-making. Assist with documentation of action items and ensure timely follow-ups, including execution such as responding on behalf of the executive to ensure timely responses are provided to our stakeholders and IO team members. * Travel Coordination: Plan seamless domestic and international travel arrangements with our 3rd party travel support team, including itineraries for meetings with executives, investors, and partners. * Confidential Communication: Act as a gatekeeper for sensitive correspondence, maintaining absolute confidentiality and professionalism in a manner that is supportive, yet not a barrier, based on the nature of the communication and the CFO’s preferences. * Document Creation: Prepare, review, and refine reports, presentations, and briefing materials for stakeholders and executive team members. * Meeting Coordination: Organize meetings, prepare agendas, document action items, and ensure timely follow-ups. * Project Support: Assist with high-level projects, including research and strategic initiatives, aligning them with organizational goals. * Expense Oversight: Manage reimbursements and budget tracking with precision and accountability. Ideal Candidate Profile * Positive Mindset: A bachelor’s degree or business school diploma preferred, but not required, with blatant overall natural empathy, curiosity, integrity, and real-life experience superseding any formal education. * Strategic Thinker: Proven ability to anticipate challenges, propose solutions, and support decision-making at the executive level. A proactive approach to identifying potential roadblocks and suggesting solutions is essential. * Cultural Awareness: Worldly and well-traveled, with an appreciation for diverse perspectives and experiences, using innate compassion. * Executive Support Experience: A background in supporting senior executives or equivalent experience demonstrating capability for this role. Experience supporting an executive or individual with diverse cognitive styles is highly valued, along with a commitment to fostering an inclusive, adaptive partnership. * Master Organizer & Executor: Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities effectively, with a focus on creating clear systems and processes. * Problem Solver: Resourceful, proactive, and adept at resolving challenges independently. A solution-oriented mindset with a focus on anticipating needs and offering options is highly valued. * Tech-Savvy: Proficient in Microsoft Office, Google Workspace, and productivity tools like Zoom and Asana. * High Emotional Intelligence: Exceptional interpersonal skills with a natural ability to build trust and maintain confidentiality while intuiting the needs of the CFO and the finance team. Demonstrated empathy, patience, and adaptability are crucial for success in this role. Compensation and Terms * $USD 40/hour under an independent contractor agreement with a potential of transitioning to a salaried position (including benefits) within three to six months based on individual performance and team fit. * Flexibility with timing, as our CFO manages businesses across Europe, North America and New Zealand.
