Job Description The Warehouse Coordinator is a critical support role responsible for ensuring the efficient and organized daily operation of the warehouse through expert management of logistics and administrative functions. You will be directly contributing to the streamlined, efficient, and organized daily operations of the warehouse and its associated administrative infrastructure. This role is responsible for the meticulous management of logistics flow (inbound deliveries, outbound pickups, internal material transfers), comprehensive maintenance of organizational tools, assistance with inventory integrity, and provision of essential front-line administrative support, including professional visitor reception and core communication management. Key Responsibilities & DutiesI. Logistics & Operations Support • Scheduling: Execute and maintain all scheduling for inbound deliveries, outbound pickups, and internal moves (transfers) of materials and inventory, • Calendar Management: Proactively maintain and update the warehouse calendar to ensure all logistics activities, appointments, and deadlines are clearly communicated and met, • Inventory Assistance: Work closely with the Warehouse Manager to assist with inventory tracking and record-keeping, ensuring accurate counts and locations, • Office Organization: Organize and maintain the cleanliness and efficiency of the warehouse office area, • Reception & Visitor Management: Greet all visitors professionally upon arrival, ensuring a welcoming and respectful environment, • Responsible for greeting and welcoming all visitors with a professional and friendly demeanor to the Catholic Charities warehouse in person, by phone or via email, • Provide accurate information to all clients or visitors to address the purpose of their call, visit or email, • Ensure all visitors and clients are responded to with the highest level of customer service, including prompt responses made with dignity and respect, • Accurately relay messages between staff, management, and external parties promptly, • Donation Monitoring: Keep track of all incoming drop=off donations, coordinating with appropriate staff for processing and recording, • Minimum of 1-2 years of experience in an administrative, logistics, or warehouse support setting, • 2 years of clerical and customer service experience required, • High School Diploma or equivalent (HS diploma) is required, • Proficiency in Microsoft Excel and Word for data entry, tracking, and document creation, • Proven ability to work well in a team environment and collaborate effectively with management and colleagues, • Strong interpersonal skills and a commitment to cultural competence when working with a diverse service population and external partners
