Job DescriptionSalary: $55,000 - $70,000 +bonus (DOE) The Tax Administrator provides operational, administrative, and workflow support to the Tax and Client Service teams at Stevens Foster. This role supports tax-season processing, organizes and tracks client information, prepares and distributes tax organizers, handles e-filing and tax correspondence, and supports year-round documentation needs. The position plays a vital role in ensuring accurate records, timely filings, and consistent communication across all client interactions during and outside of tax season. As part of Stevens Fosters integrated wealth management model, the Tax Administrator collaborates closely with Tax, Planners, and Client Account Managers. The role emphasizes precision, organization, responsiveness, and dependable follow-throughqualities essential to delivering the firms high-touch, relationship-centered service experience. Key Responsibilities Tax Operations & Documentation • Print, mail, track, and process annual client tax organizers, • Receive, categorize, and scan incoming paper and electronic tax documents, • Prepare initial missing information checklists for Tax Advisors and clients, • E-file individual tax returns and maintain complete e-file documentation and confirmations, • Mail completed tax returns, tax notices, and year-round IRS/state correspondence, • Maintain accurate tax-season workflows in AdvisorEngine/Junxure, • Ensure all tax-related files meet organizational, recordkeeping, and regulatory standards Client Information & Account Support • Prepare account paperwork, including new accounts, transfers, beneficiary updates, and insurance applications, • Process money movement such as contributions, distributions, cash transfers, and charitable gifting, • Update eMoney balance sheets and custody audit spreadsheets, • Maintain complete and compliant client records in AdvisorEngine/Junxure CRM & Data Quality • Perform ongoing data accuracy checks within AdvisorEngine CRM, • Update records, contact information, and documentation in accordance with firm procedures, • Track client follow-up items and ensure completion Client Service & Communication Support • Reach out to clients regarding tax documents, missing information, cash needs, or portal access, • Coordinate with Client Account Managers, Planners, and Tax Associates to route information and maintain workflow accuracy, • Support general communication processes with professionalism and discretion Administrative & Office Support • Monitor the firms main email inbox and route items appropriately, • Answer phones, greet clients, and support front-office duties, • Process incoming and outgoing mail, scanning, and document handling, • Assist with electronic signature processes and other cross-departmental administrative tasks, • Other tasks assigned to support operational needs Qualifications Education & Experience • Minimum 2 years of experience in the financial services industry required (Cathys requirement, aligned with template structure), • Administrative, tax office, or operational support experience strongly preferred, • Associates degree in Business, Accounting, Finance, or related field preferred (or equivalent experience) Technical Skills • Experience with Soraban, Lacerte, Fidelity Wealthscape, Schwab Advisor Center, and basic money movement processes strongly preferred, • AdvisorEngine/Junxure CRM experience highly preferred, • Proficiency with Microsoft Office (Word, Excel, Outlook), • Strong accuracy and attention to detail when handling financial, tax, and investment information Professional Skills & Attributes • Excellent communication and client-service skills with a professional, calm demeanor, • High accuracy and organization, particularly under tax-season workloads, • Ability to manage multiple deadlines and priorities independently, • Discretion and sound judgment when handling confidential information, • Collaborative, reliable, and eager to support cross-functional workflows Compensation & Benefits • Base salary: $55,000 $70,000 annually, depending on experience., • Bonus: Performance-based opportunity available., • Robust benefits package: including medical (PPO and HSA options with 85% employer-paid employee coverage), 100% employer-paid dental for employees, voluntary vision, employer-funded HSA contributions, company-paid life and disability insurance, pre-tax FSA options, 50% employer coverage of Minnesota Paid Family & Medical Leave (PFML) premiums, and a 401(k) with up to a 5% employer match after one year of service.
