Job Description Primary Job Title: Department Assistant Alternate/Related Job Titles: Administrative Assistant Department Coordinator Office Administrator Project Administrative Assistant Operations Administrative Assistant Location: Kansas City, MO Onsite Flexibility: Onsite Contract Details (Contract roles only): • Position Type: Contract, • Contract Duration: 12 Months, • Start: As Soon As Possible, • Pay Rate: $21–27/Hr, • Support planning and facilitation of internal meetings and events, • Prepare and submit expense reports for leadership team members, • Serve as an information resource for department and project teams, resolving questions and facilitating communication, • Prepare presentations, meeting notes, and data tables using Microsoft PowerPoint, Excel, OneNote, and other tools, • Coordinate client event ticket distribution and tracking, • Develop and maintain procedures aligned with business line requirements and support new business initiatives, • Plan, coordinate, and facilitate on-site and off-site meetings including training sessions, stakeholder meetings, and management meetings, • Use project financial management tools such as Ecosys and PowerBI to assist project teams with project closeouts, tracking unbilled items, accounts receivable, and other project activities, • Submit equipment rental forms for software used by project teams, • Monitor standard expenditures to ensure activities remain within established budgets, • Coordinate with the corporate training department to manage training programs and records for personnel, • Provide logistical support for training sessions, • Coordinate gift giveaways for internal and external initiatives, • Submit and track facilities and IT service tickets, • Coordinate onboarding activities for new hires within Environmental Services, • Support planning and facilitation of external events, • Prepare communications including emails, meeting agendas, and meeting minutes, • Manage sensitive and confidential information with discretion, • Coordinate resolution of operational issues related to resources, workstations, and supplies for Kansas City and Omaha offices, • Perform additional duties as assigned and comply with company policies and standardsRequired Experience:, • High School Diploma or GED required, • Previous experience in an administrative or office environment preferred, • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), • Ability to manage multiple administrative priorities and tasksNice-to-Have Experience:, • Experience with project financial management software such as Ecosys, • Experience with PowerBI reporting tools, • Experience supporting project teams within engineering, infrastructure, or professional services environmentsRequired Skills:, • Administrative coordination and office support, • Meeting and event coordination, • Documentation and presentation preparation, • Communication and stakeholder supportPreferred Skills:, • Project financial tracking and reporting, • Process documentation and improvement, • Training coordination and onboarding support, • Data organization and reporting toolsAdditional Skills:, • Strong customer service mindset and solutions-oriented approach, • Excellent organizational and time management skills, • Strong attention to detail and accuracy, • Excellent verbal and written communication skills, • Ability to work independently and manage multiple tasks, • Ability to communicate professionally with employees at all levels of the organization, • Strong problem-solving skills, • Ability to manage confidential information responsibly, • Demonstrated ability to learn and apply AI and innovative technologies to improve efficiency and qualityBenefits:, • Medical, Vision, and Dental Insurance Plans About GTT: GTT is a minority-owned staffing firm and a subsidiary of Chenega Corporation, a Native American-owned company in Alaska.
