Job DescriptionDescription: Summary The Front Desk is responsible for greeting patients in a warm and punctual manner. This role is responsible for a variety of reception and administrative duties to support the functionality of the medical office, as well as providing a welcoming atmosphere for patients. Front Desk Responsibilities • Maintains a warm, welcoming, and aesthetically pleasing atmosphere., • Welcome each patient with a warm and friendly greeting., • Provides excellent patient experience from time of check-in to check-out., • Obtain accurate patient demographic information, patient registration, and insurance information., • Maintain insurance email box, and transfer information to patient’s record as they are received., • Secure and post payments for patient visits, including copay, retail products, and cash pay services., • Answer telephone calls in a timely manner and assist with call center back log to avoid long wait times for patients., • Create claims for self-pay services and products., • Schedules patients follow up appointments as needed., • Assist patients with general questions and provide them with accurate information upon request., • Accurately receive and deliver messages., • Accepts and signs for packages as needed., • Ensure that medical documents are scanned and uploaded to patient’s charts in a timely manner., • Reconciles payments at the end of day, performs other closing duties, as necessary., • Performs tasks on the open/close checklist that is provided at each clinic., • The ability to be flexible with opening and closing schedule to ensure coverage for the front desk., • Performs other administrative related duties as assigned or requested., • Performs any combination of routine calculating, posting, and verifying duties to obtain primary financial data for use in maintaining accounts payable or receivable records., • Posts details of business transactions., • Totals accounts., • Orders all facility medical supplies, maintain par levels of surgical supplies, instruments, equipment, and other materials., • Receives purchase orders in facility inventory computer system., • Performs maintenance of the Inventory Item Masters to maintain an accurate perpetual inventory system., • Arranges for transfer of materials to meet surgery schedules, • Organizes / labels / and barcodes the supply room, • Performs periodic physical inventories as assigned and according to identified schedules., • Manages back orders and distribution requirements., • Unpacks incoming orders and stocks the shelves throughout the center., • Help ensure accuracy of vendor information., • May type periodic reports and other records., • Represents the Surgery Center in a professional and positive manner. Surgery Scheduling Duties • Responsible for scheduling Surgery Center Surgeons outpatient surgeries and procedures as requested by the physician or the physician’s office staff., • Responsible for obtaining and adding patient demographics and insurance information into the billing system., • Responsible for contacting payers to verify patient benefits and obtain necessary authorization., • Coordinates efforts with the Director of Nursing to ensure availability of needed equipment, requested staff, and/or ancillary services., • Prepares and distributes the daily surgery schedule to the Nursing Managers, RNs, Pre-Op and PACU Nurse and Technicians, Business Office Manager., • Responsible for communicating to the Director of Nursing, and other appropriate employees, for same day and next day add-on cases., • Responsible for communicating any potential scheduling conflicts to the Director of Nursing., • Responsible for tracking cancellations., • Responsible for monitoring and maintaining and releasing block time. This is a full-time position, hours from 6:00 a.m. to 2:00 p.m. Work Environment • Work is performed in a medical office setting using standard medical equipment. The risk of exposure to blood and bodily fluids is present., • Ambulatory Surgery Center – office area, • OSHA, Category II – Does not involve routine exposure to blood, body fluids, or tissues, but employment may require performing unplanned Category I tasks (indirect patient care jobs, i.e. Unit Clerk, Pastoral Care, etc.)
