Job Description Job Title: Administrative Staff Coordinator – Quality and Peer Review Support Job Description The Administrative Staff Coordinator provides comprehensive administrative and quality support for a Multi-Specialty Peer Review Committee and related quality initiatives within a community hospital setting. This role manages committee operations, supports case review activities, ensures accurate and confidential documentation, and facilitates clear communication with providers. The position also contributes to select Medical Staff Office functions, including committee coordination, credentialing data entry, and special projects that support quality improvement and patient safety. Responsibilities • Prepare, distribute, and track meeting invitations and agendas for Multi-Specialty Peer Review Committee meetings., • Compile and circulate pre-meeting case materials to committee members to support thorough review and discussion., • Record, finalize, and distribute accurate and timely meeting minutes for all assigned committees., • Draft, proofread, and issue professional correspondence to providers regarding case outcomes, follow-up actions, and committee decisions., • Maintain accurate case tracking logs, monitor case status updates, and ensure all information remains current and complete., • Monitor and respond to committee-related and case-related emails to ensure timely follow-up and resolution., • Communicate with providers regarding cases, clarifying information needs and conveying committee feedback as appropriate., • Generate and submit a monthly data report to the Medical Executive Committee, summarizing peer review activity and outcomes., • Assist the Medical Staff Office team with special projects related to the credentialing and privileging process, including data entry and coordination tasks., • Monitor referral emails and manage the intake of new case referrals from departments, staff, and physicians., • Accept and log referrals into the designated data system, ensuring accurate entry of case details and referral sources., • Triage and manage case referrals, add reviewer comments, and categorize cases appropriately for follow-up and review., • Summarize case details to determine whether cases should advance to the peer review committee, be redirected to another process, or be tracked for trend analysis., • Coordinate with clinical reviewers by sending case summaries, collecting feedback, and tracking responses., • Compile and prepare final case packets for committee review, ensuring all relevant documentation and data are complete and organized., • Extract case data and supporting information from the Electronic Medical Record (EMR) to support case review and analysis., • Support the transition from current systems (such as ATLAS, MIDAS, and IRIS) to a new peer review or quality system, helping ensure data integrity, process continuity, and user readiness., • Collaborate with quality and risk management teams to support quality improvement activities and trend analysis as needed., • Bachelor’s degree in a related field or equivalent experience and training., • Minimum of 1 year of experience supporting clinical committees, such as peer review, quality, or medical staff committees., • Experience working in a community hospital environment with exposure to quality or peer review processes., • Familiarity with case review processes and quality improvement activities in a healthcare setting., • Ability to work independently with minimal supervision while managing multiple priorities and deadlines., • Strong organizational skills with proven ability to track numerous cases, meetings, and tasks simultaneously., • Excellent written communication skills, including the ability to draft clear, professional minutes and correspondence., • Excellent verbal communication skills to interact effectively with providers, staff, and committee members., • High attention to detail with a strong commitment to accuracy in documentation and data entry., • Bachelor’s degree in Healthcare Administration, Nursing, or a related healthcare field preferred., • Background in quality coordination or quality improvement within a community hospital strongly preferred., • Familiarity with peer review or quality data systems, including experience with tools similar to ATLAS, MIDAS, or IRIS, strongly preferred., • Experience with APeX EMR or similar Electronic Medical Record systems preferred., • Experience with medical staff coordination, including committee support and credentialing data entry, is an advantage., • Strong proficiency in managing data reports and summarizing committee activity for leadership review. This role is 100% onsite in a community hospital environment, working standard hours of 9:00 a.m. to 6:00 p.m. PST. You will work closely with clinical leaders, providers, quality teams, and Medical Staff Office personnel in a professional office setting within a large healthcare system. The position involves frequent use of Electronic Medical Record systems such as APeX EMR and quality or risk management platforms including systems similar to ATLAS, MIDAS, and IRIS. The work involves regular computer use, detailed documentation, and participation in committee meetings, requiring focus, discretion, and adherence to confidentiality standards. Job Type & Location This is a Contract position based out of San Francisco, CA. Pay and Benefits The pay range for this position is $58.00 - $65.00/hr.
