Job Description We are seeking a dynamic Dispatcher Customer Service person to join our team! You will be responsible for helping customers by scheduling appointments for service work for multiple locations. and providing follow up calls on service work provided for feedback. Must be bilingual (Spanish speaking) Responsibilities: • Receive and Prioritize Calls: Answer emergency and non-emergency calls via multi-line phone systems or radios, asking questions to gather essential information and prioritizing calls based on urgency., • Dispatch resources: Coordinate and dispatch personnel, vehicles, or equipment using mobile and specialized dispatch software. Use telephones, computer-aided dispatch systems to direct drivers, work crews, or emergency personnel to appropriate locations, • Maintain situational awareness: Continuously monitor the location and status of field units and personnel. Supervise the status and location of field units using GPS, monitoring traffic and weather conditions to optimize routes and schedules., • Coordinate and solve problems: Provide real-time support, address issues like traffic or weather, and adjust plans as needed to ensure smooth operations and timely service. Address problems, scheduling conflicts, and customer concerns, providing solutions and support in a timely manner., • Relay Information: Act as a communication liaison, transferring messages and relaying work orders, background information, and updates between the office, field staff, and customers., • Resolve Issues: Address problems, scheduling conflicts, and customer concerns, providing solutions and support in a timely manner., • Handle administrative tasks: Maintain detailed logs, records, and databases, which may include vehicle information, customer files and provides follow up calls on service work provided for feedback. Accurately log all call information, dispatch activities, routes, and incidents in a database., • Operate equipment: Use a variety of equipment, including radios, phones, computer terminals, and GPS, while performing dispatching duties., • Communication: Excellent verbal and written communication skills are essential for relaying information clearly and concisely., • Multitasking: Ability to handle multiple tasks, calls, and screens simultaneously., • Technical skills: Proficient in using computers, data entry, and specific software like Computer-Aided Dispatch (CAD) and other dispatch systems., • Problem-solving: Strong analytical and critical thinking skills to make quick, sound decisions under pressure., • Organizational skills: Ability to stay organized and manage multiple priorities effectively., • Adaptability: Flexibility to work non-standard hours, handle stressful situations, and work in a fast-paced environment., • Education: Typically, a high school diploma or equivalent. Industry-specific certifications (e.g., EMD for emergency services) may be required or preferred., • Experience: Prior experience in dispatching, customer service, or a related fast-paced environment is often preferred., • Communication Skills: Excellent verbal and written communication skills to deliver clear instructions and interact effectively with diverse individuals under pressure., • Multitasking & Organization: The ability to manage multiple tasks, calls, and schedules simultaneously while maintaining attention to detail is essential., • Problem-Solving: Strong critical thinking and decision-making skills to quickly assess situations, prioritize responses, and find effective solutions., • Technical Proficiency: Familiarity with dispatch software, GPS tracking systems, multi-line phone systems, • Composure: The ability to remain calm, focused, and empathetic in high-pressure environment, • Maintain Records: Accurately log all call information, dispatch activities, routes, and incidents in a database or logbook., • Ensure Compliance: Monitor operations to ensure compliance with relevant safety regulations and operational standards (e.g., DOT regulations for trucking)., • General Administration: Perform related administrative tasks such as preparing reports, managing billing/invoices, and maintaining files.
