Fleet Coordinator Job Responsibilities: The Fleet Coordinator is an essential part of the Fleet Services team, responsible for the day-to-day administrative and logistical support of the company’s vehicle and equipment fleet. This role ensures the fleet operates smoothly, efficiently, and in full compliance with company policies and regulator requirements. The ideal incumbent will be a highly organized, proactive, and detail-oriented professional with excellent communication skills and a strong ability to manage multiple tasks simultaneously. The following list of benefits is offered only to employees in regular (full-time) positions: Health & Wellness: • Comprehensive Medical, Dental, and Vision Coverage, • Mental Health Support Programs, • Supplemental Benefits - Accident, Critical Illness, etc., • 401(k) with Company Match, • Generous Paid Time Off (PTO), • Paid Time Off increases based on years of service, • Holidays - seven (7), • Access to Online Learning Platforms, • Work Boot Program, • Team Building Events Fleet Coordinator Job Duties: • Maintain accurate and up-to-date records for all fleet vehicles and equipment, including registration, licensing, insurance, and maintenance history., • Coordinate and schedule preventative maintenance (PMs) and repairs for the fleet., • Act as a liaison between branches and external repair shops., • Track service requests and ensure work is completed in a timely manner., • Serve as the primary contact for fleet-related inquiries from company drivers and field personnel., • Assist with driver onboarding., • Monitor fuel usage and track fuel card expenses. Reconcile fuel invoices and report on consumption to identify trends and potential issues., • Assist in ensuring the fleet is compliant with all local, state, and federal regulations (e.g., DOT, FMCSA)., • Collect and organize all required documentation for audits and inspections., • Serve as the initial point of contact for vehicle accidents or breakdowns. Gather information, complete incident reports, and coordinate with insurance providers and repair services., • Assist in the tracking of vehicle and equipment location and status using fleet management software and telematics., • Monitor and manage the inventory of spare parts, tires, and other fleet-related supplies., • Perform various administrative tasks to support the Fleet Services department, including data entry, filing, invoice processing, and managing communication., • Work with the team to ensure DOT employment verifications are done in a timely manner., • Responsible for completing and maintaining Driver Qualification files., • Accuracy & Precision: Ability to enter information quickly and accurately, double checking work to ensure mistakes are avoided., • Problem Solving: Ability to identify, analyze, and resolve challenges effectively., • Relationship Management & Communication: Ability to effectively build, maintain, and navigate interactions with others with clear and concise communication., • Execution: Ability to translate plans and strategies into tangible results, getting things done effectively and efficiently., • Customer Focus: Ability to prioritize and meet the needs of customers, both internal and external., • Time & Task Management: Ability to organize and prioritize work effectively to achieve goals within a given deadline.
