My client is seeking an organised, proactive Administrator + Property Portfolio Assistant to join their South West London regional Sales Centre in Richmond; working Monday to Friday, 9am-6pm. This varied role supports the flagship Sales Centre, manages a small private portfolio of commercial and residential properties, and provides Executive Assistant support to the Directors. It+rsquo;s a busy, hands-on position ideal for someone with experience in property administration, sales, lettings or property management who enjoys juggling priorities and keeping everything running smoothly and learning on the job. Key Responsibilities: Sales Office Administration +middot; Provide full administrative support, delivering excellent customer service +middot; Handle calls, emails, applicant registrations and website updates +middot; Prepare market appraisals, sales contracts and property-related correspondence +middot; Produce window cards, property particulars and assist with advertising +middot; Manage AML checks on clients and purchasers (Smart Search and manual) +middot; Ensure the office stays compliant for GDPR + AML +middot; Coordinate the company photographer+rsquo;s diary +middot; Occasionally help to compile weekly and monthly sales statistics +middot; Maintain electronic and paper files for Office Property Portfolio Management +middot; Manage tenants and maintenance for a small commercial and residential portfolio +middot; Support serviced offices and commercial tenants +middot; Liaise with contractors for repairs, renovations and emergencies +middot; Assist with new and change of tenancies, leases and agreements +middot; Work with accountants on quarterly service charges +middot; Liaise with insurance brokers for renewals and claims +middot; Maintain property files, warranties and key management Executive Assistant Support +middot; General office and company administration +middot; Manage utilities, invoices and service provider contracts (e.g. Reapit, SmartSearch, FCS Compliance) +middot; Oversee office supplies and service contracts (security, fire alarms, IT) +middot; Manage office inbox (GDPR, AML, unsubscribes) +middot; Reception duties as required +middot; Provide diary reminders and organisational support to the Directors About You +middot; Experience in property sales, lettings or property management (ideal but not essential) +middot; Excellent time management and organisational skills +middot; Confident using MS Word, Excel and Outlook +middot; High attention to detail with strong written English and numeracy +middot; Calm problem-solver, comfortable dealing with contractors, tenants and senior stakeholders +middot; Proactive, practical and dependable with a +ldquo;can-do+rdquo; attitude +middot; Reapit CRM experience is an advantage This role description is a guide and not exhaustive; flexibility and teamwork are key, training + support will be given.
