The Learning Process Operations Lead is responsible for overseeing the operational management, optimisation, and continuous improvement of the Workday Learning platform within the organisation. This role ensures that Workday Learning processes are efficient, user-centric, and aligned with business objectives, while providing expert guidance to stakeholders and supporting the delivery of engaging learning experiences. The role requires an analytical and proactive, capable of guiding cross-functional teams, driving process efficiency, and fostering a culture of excellence in operations. Reporting to the Senior HR Continuous Improvement Manager in the HR Service Delivery team. Key Responsibilities • Process Management and Optimisation: Lead the design, implementation, and refinement of Workday Learning processes, ensuring best practice and compliance with organisational policies., • Stakeholder Engagement: Serve as the primary point of contact for Workday Learning operations, collaborating with HR Service Delivery, L&D, IT, Risk, and Knowledge Teams, and business leaders to gather requirements, resolve issues, and align system capabilities with business needs., • Mandatory Training: Manage the Mandatory Training end to end process., • Continuous Improvement: Identify opportunities for process improvement and system enhancements, leveraging user feedback and system analytics to drive adoption and satisfaction., • Training and Support: Develop and deliver training for end users and administrators. Provide expert support for queries, incidents, and change requests., • Compliance and Governance: Ensure all learning processes adhere to internal policies, data privacy regulations, and audit requirements. Ensure all Workday Learning Owners recognise and adhere to the responsibilities for delivering learning in Workday., • Project Management: Lead or participate in projects related to the deployment of new Workday Learning functionalities, integrations, or process changes., • Documentation: Maintain up-to-date documentation on processes and procedures. Reporting and Insights • Work with the HR Reporting team to create and monitor Learning reports., • Develop and maintain key Learning indicators and metrics dashboards., • Establish feedback loops and reporting mechanisms to monitor progress on operational goals and identify emerging risks or issues., • Prepare comprehensive reports and presentations for senior management, highlighting trends, challenges, and opportunities. Stakeholder Engagement and Communication • Serve as a key point of contact for process-related matters between operational teams and external partners., • Facilitate workshops, training sessions, and meetings to promote best practices and process adherence., • Communicate process changes, updates, and expectations clearly and effectively to all relevant stakeholders. Foster a culture of continuous improvement, encouraging innovation and adaptability among teams. Compliance and Quality Assurance • Ensure all operational processes adhere to regulatory requirements, industry standards, and internal policies in the countries we operate in., • Implement quality control measures and audit processes to maintain high operational standards., • Establish and monitor compliance with a set of common standards for teams who manage learning delivery through Workday, • Investigate process failures or deviations, initiating corrective and preventive actions as necessary. Key Skills And Experience • Proven experience with Workday Learning or similar LMS platforms from an operational or administrative perspective., • Strong process management, analytical, and problem-solving skills., • Excellent stakeholder management and communication abilities., • Demonstrated capability in training delivery and user support., • Experience with system security and reporting tools is desirable., • Understanding of learning and development best practices., • Ability to manage multiple priorities and deliver results within set deadlines., • Attention to detail and commitment to high-quality standards. Qualifications And Experience • Minimum of 5-7 years of experience in operations management, HR process improvement, or a similar role within a complex organisation., • Proven track record of leading process optimisation initiatives and managing cross-functional teams., • Strong analytical skills, with proficiency in process mapping, data analysis, and performance measurement tools., • Excellent communication, presentation, and stakeholder management skills., • Demonstrated ability to influence and drive results across multiple levels of the organisation., • Knowledge of compliance, governance, and quality assurance practices relevant to operational processes., • Familiarity with process automation, workflow management, and digital transformation technologies.
