Job Title: Building Documentation Specialist Start Date: ASAPDuration: 3-6 months (potential to extend)Pay Rate: £19-£25 per hour Hours: Monday-Friday, 40 hours per week (8am-5pm)Location: Soho, LondonWorking Pattern: Hybrid - 3 days in the office, 2 days from homeTravel: Regular visits to London clubs, sites, and venues within the estate Overview We are seeking a highly organised and detail-focused Technical Documentation Coordinator to take ownership of developing clear, accurate and user-friendly Building User Guides (BUGs) across a luxury hospitality estate. This role involves reviewing technical information, validating service locations, and transforming complex building details into simple, accessible documentation for operational teams. This is an admin-heavy, research-driven role ideal for someone who thrives on coordination, information gathering, and producing consistent, polished documents. You will work closely with internal teams, external contractors, and subject matter experts to ensure that all building information is complete, reliable, and aligned with brand standards. Key Responsibilities • Review existing as-built documentation to identify, verify, and map mechanical, architectural, and MEP service locations., • Research, source, and clarify technical information from various internal and external stakeholders., • Develop, structure, and complete Building User Guide templates for multiple sites across the estate., • Translate complex technical details into clear, user-friendly language suitable for non-technical readers., • Maintain consistent formatting, branding, and technical standards across all documents., • Track progress, outstanding information, and dependencies across multiple simultaneous documents., • Identify gaps, inconsistencies, or discrepancies in existing documentation and coordinate with relevant teams to resolve them., • Work onsite across London clubs and venues to validate layouts, record information, and confirm service locations where needed. Skills & Experience Required • Ability to read and interpret architectural, mechanical, and technical drawings (layouts, schematics, service plans, etc.)., • Understanding of building systems such as HVAC, M&E, pools, spas, and general facilities operations., • Strong communication and stakeholder engagement skills-comfortable speaking to a wide range of internal teams, contractors, and specialists., • Demonstrated experience in researching, gathering, and validating information., • High attention to detail with excellent organisational and time-management abilities., • Proficiency in Microsoft Word, Excel, and PowerPoint (BUG documents are PowerPoint-based)., • Experience producing instructional, operational, or technical documentation., • Confident working independently with minimal supervision and proactive in chasing missing data., • Experience within hospitality, luxury estates, members clubs, hotels, gyms, or spa environments is highly desirable.
