Position Summary Living Earth is seeking an experienced, software-centric IT Systems Manager to set the strategy for, and personally build out, the organization's business systems environment. This is a hands-on, individual-contributor role with no initial direct reports, designed for someone with strong systems consulting or enterprise IT systems experience who wants to work as a doer — leading projects and managing vendors directly rather than through a team. The IT Systems Manager owns the strategy, administration, optimization, integration, security, and lifecycle management of the organization's core business systems, including Sage 100, Shopify, Stampli, HubSpot, Samsara, and other platforms, and will lead the design and build of the organization's data warehouse and the implementation of new systems as the organization grows. This position partners with Finance, Operations, Sales, Marketing, Human Resources, Customer Service, and executive leadership to improve business processes, strengthen data integrity, increase automation, manage technology costs, and ensure systems scale with the organization. This position reports directly to the Chief Financial Officer and will impact overall company strategy at an executive level. Essential Duties and Responsibilities · Set and drive the organization's IT systems strategy and roadmap, including leading the design and build-out of the organization's data warehouse and business intelligence/reporting infrastructure. · Own the organization's core business systems ecosystem, including Sage 100, Shopify, Stampli, HubSpot, Samsara, and other business applications platforms. This covers architecture, data compatibility, configuration, integrations, user access and permissions, vendor relationships, system documentation, and application lifecycle management. · Develop, maintain, and improve integrations between enterprise systems using APIs, middleware, automation tools, and other appropriate technologies to improve data flow and reduce manual work. · Evaluate current systems and business processes to identify opportunities for automation, consolidation, standardization, improved functionality, stronger controls, and reduced technology costs. · Lead software evaluations, selections, implementations, migrations, upgrades, and major enhancements, including requirements gathering, vendor demonstrations, project planning, testing, user acceptance, deployment, and post-implementation support. · Establish and maintain software governance standards covering system ownership, administrator access, role-based permissions, user provisioning and deprovisioning, multi-factor authentication, data protection, change management, and periodic access reviews. · Partner with department leaders to understand operational needs and translate business requirements into practical technology solutions, workflows, reports, dashboards, and system enhancements. · Maintain data integrity and system governance across business applications by identifying duplicate, incomplete, or inconsistent data and implementing processes that improve accuracy, reporting, and accountability. · Manage software vendors, consultants, support providers, contracts, renewals, subscription levels, licensing, service expectations, and escalations; partner with the CFO on technology budgeting, forecasting, cost control, and contract negotiations. · Develop and maintain an enterprise software inventory, technology roadmap, system documentation, business continuity considerations, and standard operating procedures for critical applications and integrations. · Manage technology projects independently from scoping through delivery, coordinating with external IT or technical service providers when infrastructure support is required, and ensure critical business-system issues are resolved promptly. · Develop user guides, training materials, and communication for new systems, processes, and software enhancements; support change management and promote effective employee adoption of technology. · Monitor emerging technologies and recommend solutions that improve operational efficiency, customer experience, scalability, security, reporting, or financial performance. Qualifications Education and Experience · Bachelor's degree in Information Technology, Computer Science, Management Information Systems, Business Information Systems, or a related field preferred; an equivalent combination of education, certifications, and relevant experience may be considered. · Seven or more years of progressively responsible experience in information technology, business systems consulting, software administration, enterprise applications, or a closely related field is required. · Demonstrated hands-on experience administering, optimizing, and supporting ERP systems (Sage 100 or a similar mid-market ERP) and POS systems (Shopify a plus) is required. · Demonstrated hands-on experience with CRM platforms such as Hubspot, or similar systems, is required. · Significant experience managing SaaS applications, enterprise software, system integrations, APIs, workflow automation, software implementations, migrations, upgrades, and vendor-supported technology is required. · Experience managing software vendors, contracts, licensing, subscription costs, technology budgets, and system governance is strongly preferred. · Experience partnering directly with senior leadership and supporting a multi-location or multi-department organization is preferred. · Experience building or implementing a data warehouse, business intelligence/reporting infrastructure, or enterprise-wide system integrations is strongly preferred. · A background in IT systems consulting, or a similarly broad, hands-on systems implementation role, is strongly preferred. · This role is well suited to a candidate who is ready to take ownership of a systems function individually and is seeking a broader IT management role as a next career step. Knowledge, Skills, and Abilities · Advanced knowledge of SaaS applications, enterprise business systems, CRM platforms, e-commerce technologies, workflow automation, and software administration. · Strong working knowledge of Sage 100 (or a similar ERP), Shopify, Stampli, HubSpot, Samsara, and other core business systems, including configuration, administration, integrations, permissions, workflows, reporting, and optimization. · Strong understanding of APIs, data mapping, system integrations, automation platforms, and the flow of information between business applications. · Working knowledge of data warehouse design, data modeling, and business intelligence/reporting tools, with the ability to build reporting infrastructure from the ground up. · Ability to evaluate business processes, identify inefficiencies, and translate operational requirements into scalable technology solutions. · Working knowledge of cybersecurity best practices related to software applications, access controls, multi-factor authentication, account security, data protection, and segregation of duties. · Strong analytical and problem-solving skills with the ability to diagnose complex system issues, identify root causes, evaluate options, and drive issues through resolution. · Strong project-management and organizational skills with the ability to manage multiple implementations, vendors, deadlines, and competing priorities. · Ability to evaluate technology solutions from technical, operational, financial, security, and user-experience perspectives. · Excellent written and verbal communication skills with the ability to explain technical concepts clearly to non-technical employees, managers, and executives. · Strong documentation skills and attention to detail, including the ability to maintain system inventories, process maps, technical procedures, access records, and technology standards. · Ability to work independently, take ownership of technology decisions and issues, and maintain a strong service-oriented approach while enforcing appropriate governance and controls. Licenses / Certifications · Relevant professional certifications in Sage or other ERP systems, HubSpot, Shopify, Microsoft, project management, cybersecurity, cloud technologies, or related disciplines are preferred but not required. · Valid driver's license and an acceptable driving record are required when travel to Living Earth locations is necessary. · Must successfully complete pre-employment drug and alcohol screening and comply with Living Earth's drug-free workplace requirements. Supervisory Responsibilities This position has no direct reports. The IT Systems Manager operates as an individual contributor, personally managing technology projects and vendor relationships rather than through a team, and may coordinate the work of contractors, consultants, or managed service providers on a project basis. Physical Requirements · Ability to perform prolonged computer-based work, including sitting, typing, viewing monitors, and participating in virtual meetings, and occasionally lift or move technology equipment weighing up to 25 pounds. · Ability to travel by vehicle to Living Earth locations as business needs require. Work Environment · Work is primarily performed in a professional office environment with periodic visits to Living Earth operational locations. · Occasional work outside normal business hours may be required for system implementations, upgrades, outages, critical incidents, or other technology needs.
