If you share these five values, come and join our team. Role Description This is a full-time, on-site position located in Louisville, KY. Under general direction, the Compliance Coordinator works independently to support the operations of LSS Holdings and its affiliated companies regarding industry accreditations/certifications/memberships, customer requirements, workplace incidents, and assisting with general Compliance tasks. This position reports to the Manager of Compliance and works closely with Operations, Accounting, Sales, and executive leadership. Key Responsibilities Industry Accreditations/Certifications/Memberships • Maintain records for industry memberships and certifications, including tracking renewals and ensuring employees complete continuing education requirements by the deadlines, • Manage submissions for customers’ vendor setup processes—coordinating cross-functional collaboration with various departments, insurance agent, and customer contacts, • Manage requirements in customer-mandated credentialing portals, such as Avetta and ISNetworld, • Order and track contractually required insurance policy endorsements, • Distribute renewal certificates of insurance and annual W-9 forms to appropriate parties, • Assist in advising Sales, Operations, and Accounting on state and federal prevailing wage laws, • Review customer-written contracts and customers’ requests for revisions to issued sales proposals—flagging risks and special conditions for management review, and redlining clauses for negotiations with customers, • Process workers compensation, automobile liability, and general liability claims, and thoroughly document facts and data as claims progress, • Serve as the primary point of contact for claims-related employees, witnesses, medical providers, customer contacts, and insurance companies, • Coordinate with injured employees and medical providers to ensure employees receive needed care, company receives doctor notes, etc., • Monitor and communicate with relevant departments the details of restricted duty and days away from work incidents, communicating with medical treatment providers and insurance companies as needed for clarity, • Maintain insurance schedules, including approved drivers’ MVRs, fleet vehicle locations, field operations equipment, and workers compensation states, • Serve as a point of contact for day-to-day communications with the company’s liability insurance agent, • Process incoming compliance requests, acknowledging requests and adding them to the Monday.com board, • Manage annual employee trainings required per HR and Compliance, and assist in the creation of employee trainings related to Compliance tasks (i.e., incident reporting, workers compensation claims, etc.), • Perform administrative Compliance tasks and other duties as assigned Required Qualifications • 4+ years of direct experience in Key Responsibilities—an equivalent combination of relevant education and experience will be considered, • Working knowledge of OSHA recordkeeping and/or workplace incident reporting procedures, • Working knowledge of business legal structures and Secretary of State filings, • Familiarity with lifecycle of insurance claims for workers compensation and/or other business liability insurance, • Adept at managing confidential information, • Ability to manage competing deadlines while working independently, • Excellent attention to detail and organization, • Strong written and verbal communication with proven ability to prepare documented evidence and professional correspondence, • Experience in driving project completion via interdepartmental communication, • Proficiency with Microsoft Office (Outlook, Excel, Word), • Comfortable working independently in HRIS systems and project management databases Preferred Qualifications • Bachelor’s degree or professional certification in a relevant field, • Industry experience in facilities management, fire protection services, or industrial cleaning, • Direct experience managing liability insurance claims, • Direct experience reviewing and redlining contracts, • Working knowledge of federal procurement processes and FAR clauses, • Experience with accreditation, ISO standards, and quality management, • Experience with UKG Ready and Monday.com Company Benefits • Medical Insurance, • Dental Insurance, • Vision Insurance, • Life Insurance (free), • Voluntary Insurance (Accident, Critical Illness, Life and Short-Term Disability), • 401k with company matching, • Employee Assistance Program, • Employee Referral Program, • Paid Time Off
