KEY RESPONSIBILITIES Front Desk & First Impressions • Serve as the first point of contact for all incoming calls, emails, and visitors, delivering a professional, warm, and efficient experience., • From arrival to departure, ensure each interaction is seamless, personalized, and memorable – in the best way., • Greet and assist guests, clients, and employees in person and virtually, creating a polished, welcoming, and VIP-caliber atmosphere., • Direct calls and handle front desk email communication, with attention to phone professionalism., • Centralize all meeting needs. Coordinate meeting room scheduling, prepare spaces, and manage visitor logistics., • Maintain reception and conference areas in a neat, organized manner that you would be proud to show your mother. Proactively enhance the space with welcoming touches (a green thumb is a plus!) Group Services + Office Support • General Office Support, • Create a welcoming and inclusive office environment for all team members and guests., • Use visual displays to share “who’s in the house” - highlighting clients, partners, and meeting details to promote engagement and connection., • Support logistics for company meetings, celebrations, and special initiatives., • Sort and distribute mail and manage receipt of all deliveries, • Order and distribute office and kitchen supplies., • Keep office supply area, kitchen area, and coffee stations in an organized fashion., • Manage and update company email distribution lists to ensure timely, accurate communication., • Assist Finance Team: Scan invoices, lien waivers, notices of furnishing and distribute accordingly. Maintain daily listing of all customer checks received in the mail, and distribute to Finance Team, as directed. Maintain listing and documentation of business licenses and registrations for all Group businesses., • Assist Risk Department: Organize and maintain documentation for insurance, compliance and track deadlines/maintain schedule for prequalification renewals (Trade31, Stanton, Stewart)., • Assist Talent Team: Support Recruiter with setting up for onboarding. Assist with training logistics, compliance tracking, and internal surveys. Maintain databases related to employee engagement surveys.
