Job DescriptionDescriptionREPORTS TO: Supervisor, Civil Department STATUS: Full-time, 35 hours/week, Non-exempt, unclassified JOB LOCATION: Hamilton County Courthouse (1000 Main Street, Cincinnati, OH 45202) HOURS: Monday – Friday; 8:00 am – 4:00 pm TRAVEL REQUIREMENTS: None PAY GRADE: $24.39 SUPERVISORY RESPONSIBILITIES: No JOB OVERVIEW: This position provides services through the Civil Department of our Common Pleas division. Specifically, the Issue Team is responsible for entering and processing all lawsuits over $15,000 and maintaining updated records as appropriate. The Hamilton County Clerk of Courts is the official record keeper and agent of Hamilton County’s Justice System. The Civil Division of Common Pleas processes filings and entries related to lawsuits with damages of more than $15,000. The Civil Division also handles Garnishments, Notaries, Orders for Sale, and Writs of Execution. The ideal candidate shares our vision for the future, demonstrates our values of serving others, kindness and respect, and is: • Eager to learn - Demonstrates curiosity, adaptability, and a commitment to continuous improvement in understanding procedures., • Committed to excellence - Strives for accuracy, efficiency, and professionalism in all aspects of their work, ensuring the highest standards in customer service., • A Team-Oriented Mindset – Thrives in a collaborative environment, supporting colleagues and contributing to the overall success of the Finance Division., • Initiate new cases and update data into our Case Management System in the Common Pleas Court., • Re-issue Alias Summons, • Process Electronic Filings., • As needed, fill in for the Execution department, including:, • Initiate Orders for Sale, Writs of Possession Garnishments, Certificates of Judgment, Foreign Judgments, Notaries and Writ of Executions., • Issue witness fee checks and bond refund checks., • Process electronic filings.30% CUSTOMER SERVICE, • Greet the public and provide exceptional customer service, both in-person, phone and through mail and email correspondence., • Respond to customer inquiries: determine the nature of requests, retrieve information from system or hard-copy files, and provide assistance directly or by referring the customer to the appropriate party., • Communicate with Judges and court personnel as needed to clarify and confirm data.20 % CLERICAL SERVICES, • Perform various clerical tasks to assist with the efficient operation of the department., • Assist customers through preparation of paperwork for Civil Protection Orders., • Assemble forms processed during the work shift in preparation for additional processing, scanning or filing., • As needed, balance cash drawer at the end of the work shift; ensure cash matches the tally from collected fees; review any anomalies or out-of-balance conditions with managers.10% DOCUMENT REVIEW AND ANALYSIS, • Interact and build relationships with people of diverse backgrounds, personalities and characteristics, including but not limited to age, gender-identity, race/ethnicity, religious beliefs, disability status, sexual orientation, socio-economic status, and physical appearance., • Maintain professional demeanor at all times and acts in accordance with the office values - respect, integrity and fairness, kindness, and serving others., • Provide excellent customer service., • Multitask, • Work collaboratively, as part of a team., • Engage in difficult conversations and manage different personality types and communication styles., • Manage antagonistic or difficult situations.Skilled in:, • Customer service., • Data entry and analysis.
