The ideal candidate is a proactive, detail-driven professional who takes ownership, communicates exceptionally, prioritizes effectively, and thrives in a people-centered environment. This role handles front office and reception duties and is based on-site, working part-time (approximately 25 hours per week), Monday through Friday during core business hours. What You'll Do Responsibilities Reception/Office • Open and close the office at stated business hours, • Greet and announce firm visitors in a friendly, welcoming manner, • Answer incoming calls and direct to appropriate party, • Schedule conference rooms and ensure smooth transition between meetings, • Ensure day to day operations are prioritized according to client and advisor needs and deadlines, • Establish building access for new advisors, sales assistants, WPFG personnel and guests, • Prepare Welcome packets and prepare assigned workspace for new associates (clear office/workstation, provide keys, etc.), • Complete office offboarding tasks as applicable when associates leave the firm (collect keys, key fob, notify building as needed), • Sort and distribute incoming mail including US mail, UPS, and FedEx, • Sign for, receive, and distribute packages delivered to firm, • Stamp outgoing mail, create UPS labels, and deliver mail to designated building drop, • Maintain office machinery and supplies including postage meter, photocopier, and other office machines, • Order and maintain designated inventory of various office and breakroom supplies, • Track and submit monthly office billing charges to Accounting, • Assist with vendor management, • Notify building management of maintenance requests, • Obtain Notary qualification and perform notary duties for firm and company business, • Participate in the site manager department monthly meetings, • Participate in site manager department goals and projects, • Support ongoing and strategic projects across departments, as assigned, • Designee for Firm Stationery Ordering, to include business cards, letterhead, envelopes for advisors, WPFG staff and general office, • High school diploma or equivalent, • Associate or Bachelor's degree preferred, • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word), • Demonstrates excellent telephone and verbal communication skills, • Possesses strong interpersonal, organizational, and multitasking abilities, • Exercises sound judgment and diplomacy in all interactions, • Highly detail-oriented with a proactive approach to work, • 1+ years administrative experience Equal Employment Opportunity WPFG is an equal opportunity employer.
