Job Title: Project Coordinator Reports To: Sr. Project Manager Location: Phoenix, AZ Travel: 15% Work Schedule: Monday–Friday, 8 AM – 5 PM Compensation & Benefits Pay Range: 45,000-50,000-per year Incentive Pay: Bonus Benefits Summary: Medical, Dental, Vision, 401(k), Vacation, Holidays, others Role As Project Coordinator, you will be responsible for the seamless execution of all coordinator related processes across the organization. You will support Project Managers, Operations, Sales, and R&D by managing workflows that include surveys, panels, sample shipments, inventory, communication, follow up, and ad hoc requests. You are an executor of plans with a clear voice to shape them. You are expected to manage your work independently, adjust timelines when appropriate, reprioritize as conditions change, and drive cross functional coordination to close projects. Skills • Highly organized and detailed oriented, • Strong internal urgency, • Comfortable operating independently, • Confident: Asks questions when clarity is needed, • Time management, • Energetic & Positive, • Strong written and verbal communication skills, • Proficient in Microsoft Office Suite and related software: Outlook, PowerPoint, Excel, Word, SharePoint, • Zoom, Teams, • Asana, • Preferred prior experience in coordinator role or similar operational position Key Functions Project Coordination & Execution • Own day-to-day coordination of surveys, panels, sample shipments, inventory management, follow ups, and communication, • Manage multiple concurrent priorities with both structured weekly planning and daily fire management, • Reprioritize work as needed to support shifting business needs while maintaining accountability to deadlines, • Actively manage up by communicating risks, constraints, and progress clearly and early Sample & Inventory Management • Receive, document, and manage all inbound samples while maintaining strict cold chain custody and sample integrity, • Photograph, temperature check, log, and store all samples with precision and discretion, • Prepare and coordinate outbound shipments using FedEx and UPS according to sales and support instructions, • Maintain accurate, real time sample inventory with weekly reporting and disposition recommendations, • Conduct first production case reviews including weights, measurements, images, and assembly documentation Cross Functional Coordination • Drive cross functional meetings to complete and close projects as needed, • Maintain a visible and reliable sample request and submission calendar for internal stakeholders, • Ensure timely communication across teams regarding sample status, surveys, panels, and next steps Panels, Surveys, & Field Support • Coordinate and conduct internal office panels including preparation, execution, and cleanup, • Compile panel results and survey findings into clear summaries that support decision making, • Perform store walks and surveys as needed, capturing images, insights, and observations, • Support merchandising and field requests when required Operational Reliability • Ensure sample storage areas, freezers, and workspaces remain clean, organized, and food safety compliant, • Track monthly and annual shipping expenses and manage shipping supply availability, • Support essential office operations that enable team productivity Growth at FoodStory Brands This role offers a credible and proven path to advancement.
