Job Description CH Coakley is seeking a proactive, highly organized individual to act as a liaison between members of the sales team, clients, and internal operations. Core responsibilities will include administrative support, interdepartmental coordination, and multi-faceted client communication. This role plays a key part in supporting sales growth, fostering client satisfaction, client contract compliance, and key communications within the commercial moving department. Position Responsibilities · Assist in receiving, directing, and responding to client phone calls, emails, and inquiries in a timely and professional manner. · Compile, complete, and distribute various client related materials such as RFP documentation, pre-move packets, work orders, etc. · Assist in creating new quotes · Maintain client compliance across various vendor platforms. · Become proficient in internal software packages such as our CRM, accounting software, and operations systems. · Coordinate schedules for interdepartmental collaboration. · Establish and maintain efficient data management systems to preserve various sales records, client information, and contract dates. · Coordinate teams on upcoming contract renewals · Receive and send labels and move materials via USPS, FedEx, Ups, etc. · Assist with job clearance documentation and certifications. · Field operations related phone calls, emails, and general inquiries from crews and drivers. · Make travel and/or dining arrangements for crew and project managers · Answering the main office phone lines as a back up · Assist in some collections for certain clients · Perform other administrative duties as assigned. Qualifications · High School Diploma or GED o Bachelor’s degree in applicable field with two years administrative experience (or equivalent) preferred · Computer literacy – candidates need to have a general understanding of basic computer operating programs, including but not limited to Microsoft Office · Possess exemplary organizational, communication, time management, and customer service-related skills · Can multi-task, prioritize, and work efficiently in fast-paced environments, to meet critical deadlines · Able to work well within a team, but also demonstrate self-regulation and discipline when working independently · A general understanding of industry related processes/terminology is preferred Benefits · “Open door” communication and feedback philosophy · Dynamic, fast paced, and family-oriented work environment · On the job training · Opportunities for internal promotion · Full benefit packages – health, dental, vision, life, short-term disability, accident, insurance is available.
