Job Title: Catering and Events Coordinator Location: Hybrid, with travel in South Florida between West Palm Beach and Miami/Brickell Reports to: VP of Retail Operations Role Type: Exempt Travel: Ability and willingness to travel up to 50-60% of the time within assigned markets and surrounding regions. About the Role: The Catering and Events Coordinator is responsible for driving incremental revenue growth through the catering channel while delivering exceptional guest experiences that reinforce the PopUp Bagels brand. This role blends sales development, relationship management, operational coordination, and event execution to expand market presence and build long-term client partnerships. The Catering Manager owns the full catering lifecycle — from lead generation and client acquisition through execution, follow-up, and repeat business development — ensuring operational excellence and profitability. You Will: ● Drive Incremental Revenue: Strategically grow catering sales by actively identifying and pursuing new business opportunities and maintaining relationships with existing clients to increase repeat business. Leverage client feedback and market trends to refine offerings, ensuring alignment with client expectations and evolving preferences. ● Client Outreach and Cold Calling: Perform proactive cold calling, emailing, and establish contact with potential clients to introduce catering services and identify opportunities for new business with personalized follow-ups. ● Client List Maintenance: Keep and maintain up-to-date client lists, tracking interactions, preferences, and history to ensure a personalized approach to service and future business. ● Client Visits and Relationship Building: Conduct face-to-face meetings with clients to understand their catering needs, do tastings, present service options, create incentive programs, and build strong, long-lasting relationships. Build lasting relationships through exceptional communication, timely responses, and an understanding of client preferences and standards. ● Order Management and Follow-Up: Oversee the entire order process, including taking, verifying, and coordinating client orders and working closely with PopUp Bagels staff to work onsite catering events as needed. Follow up post-event to gather feedback and address any issues promptly. Actively call and engage with repeat clients to encourage future orders, offer promotions, and gather feedback to continually improve the service experience. Work to transition all relationships to "First Party" and away from "Third & Second Party" relationships. ● Monitor Quality of Delivery Platforms: Perform spot checks on experiences to ensure our delivery services are first class and maintain a short list of preferred drivers with delivery platform reps. ● Financial Reporting: Keep accurate and detailed records of sales and fees associated with orders. Manage department (and client) budgets, along with ensuring accurate invoicing and timely payments. Required Experience and Education ● Bachelor’s degree in Hospitality Management, Business Administration, Marketing, or related field or equivalent professional experience. ● 2–5 years of experience in catering sales, hospitality sales, event management, or food & beverage operations. ● Demonstrated success meeting or exceeding sales or revenue targets. ● Experience managing client relationships in a fast-paced service environment. ● Experience coordinating logistics across multiple stakeholders. ● Familiarity with catering platforms, CRM systems, or event management software. ● Experience building SOPs or scalable catering programs. ● Experience in multi-unit restaurant or high-growth hospitality environments. (preferred) ● Background in startup or expansion-phase organizations. (preferred) ● Strong consultative selling and relationship-building skills. ● Ability to identify revenue opportunities and convert leads into long-term clients. ● Understanding of pricing, margins, and profitability drivers. ● Exceptional verbal and written communication skills. ● Skilled at managing client expectations and resolving concerns proactively. ● Highly organized with strong attention to detail. ● Ability to manage multiple events, deadlines, and priorities simultaneously. ● Commitment to hospitality excellence and guest experience. ● Comfortable using CRM tools, invoicing systems, and reporting dashboards. ● Ability to analyze basic sales metrics and performance data. ● Self-starter with high ownership mindset. ● Comfortable working independently in a hybrid environment. ● Adaptable and effective in fast-growth, evolving organizations. ● Collaborative team player aligned with PopUp culture and values. Physical Requirements • Ability to stand and walk for extended periods during events or site visits., • Ability to lift and carry items up to approximately 25–30 pounds occasionally., • Ability to travel locally for client meetings, tastings, and catering events., • Ability to work in restaurant, production, and event environments including varying temperatures and noise levels., • Occasional early mornings, evenings, or weekend work based on event schedules., • Ability and willingness to travel up to 50% of the time within assigned markets and surrounding regions., • Travel includes client meetings, prospecting visits, tastings, onsite catering events, shop and production facility visits, and internal company meetings., • Must maintain a valid driver’s license and ability to travel independently between locations.
