The Administrative Coordinator will also provide general office support ensuring all administrative, facilities related and overall cleanliness and organization of the office is done properly. Key Responsibilities · Provide administrative support to management daily. · Maintain pristine and organized facility. · Receive packages and mail and distribute to appropriate team members. · Ensure pick up items are picked up in a timely manner. · Draft correspondence as needed. · Liaise between Company and any pertinent third-party companies. · File and retrieve documents and reference materials for office. · Greet and welcome guests with a positive and helpful attitude · Answer, screen and forward incoming phone calls in a professional manner · Manage voicemail messages daily and route to key personnel · Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, etc.) · Manage assignment and programming of access cards for new employees or temporary workers · Responsible for cancelling access cards after employee departures or lost cards · Maintain reception area and all common areas in a clean, tidy and presentable manner always · Receive deliveries, sort and distribute incoming mail · Scan and label mail to remote employees · Assist with a variety of administrative tasks including copying, filling, faxing and assisting with ad-hoc administrative duties. · Open Office · Close Office What We’re Looking For · Must be able to multitask. · Excellent verbal and written communication skills. · Excellent organizational skills. · Ability to be resourceful and proactive when issues arise. · Comfortable multi-tasking and prioritizing tasks without guidance. · Proficient in Microsoft Office including Outlook, Excel, and Word. · Knowledge of office methods, practices, and procedures. · Ability to perform routine clerical work and other projects assigned and complete these projects within given timelines. · Must maintain a professional appearance to represent the organization’s image. · Public accounting experience preferred.
