Immediate opening for a Program Coordinator in Los Angeles, CA who possesses: • Strong Admin support experience, • Highly Organized / Time management experience FULL DESCRIPTION: Coordinates and supports projects. Provides support for Dean's Office and College-wide activities, special programs, and grants. Assists in coordinating college-wide general studies courses, student affairs, and transfer credits for general studies courses in the Departments of Public Health, Health and Life Sciences, and Social Science and Humanities. Assists with major grants within the College. Performs various and specialized administrative support to coordinate day-to-day operations of the College and the Dean's Office and assists management with complex details and advanced administrative assignments. The selected candidate will be responsible for: • Participate in the Dean's team leadership core to ensure overall alignment of programs function and provide strategic direction for the departments and programs., • Participate in ongoing development and revision of Dean's Office operating procedure standards., • Assist Dean, Dean's Executive Assistant, program directors and chairs, and administrative staff with the accreditation process and matters related to accreditation, accreditation standards, and alignment with University and College mission and goals. Assist with related data collection, document preparation, and site visit planning., • Manage and coordinate expenditures for major grants and review grant materials., • Assist Dean and Dean's Executive Assistant in projects and initiatives within the Dean's Office and in collaborative College-wide projects and programs, • Participate in ongoing development and revision of Dean's Office operating procedure standards and as related to work-flow processes for College-wide coordination with Dean's Office., • Serve as liaison for primary campus operations, including, but not limited to, registrar services, enrollment management, student affairs, library services, strategic advancement, campus nursing officer services, etc., • Compile data and prepare monthly, quarterly, and yearly reports as requested by the University, grant sponsors, accrediting agencies, etc., • Assist Dean in obtaining, monitoring, and fair distribution of program resources. Review and analyze College-wide purchasing patterns to maximize savings to Dean's Office and programs and identify expenditure trends. Prepare and monitor purchasing orders for Dean's Office, general studies, and other programs as needed. Support all programs in combined scheduling of vendors, managing college-wide orders and vendor relationships, and special awards., • Coordinate -wide course schedules and monitor course overlap and duplication. Liaison with departments and programs for needed schedule modifications., • Keep abreast of procedures and policies relating to general studies and the restructuring of general studies course distribution among various programs and departments., • Compile and coordinate unified book lists for all programs and courses and general studies., • Oversee student support services for ALL Students, • Develop forms/documents and processes to follow up on student's performance and faculty reports on student performance, such as mid-semester and final reports., • Meet with program chairs, directors, and coordinators to discuss students' performance, • Oversee the day-to-day operations of curricular implementation for general studies classes as distributed among programs, including learning management systems, attendance, curricular schedules, course materials, and calendars., • Assist with transfer credit and articulation, student testing, and other assignments for and as related to general studies courses as needed., • Maintain necessary records and documents for the programs/curriculum, including syllabi, curriculum approvals, and assessments., • Serve as events manager, plan and coordinate College-wide and Dean's Office special events and activities, including annual Oath and Honors Award activities., • Execute special projects: gather and summarize data, monitor deadlines, and initiate follow-up., • Arrange various chairs and director's meetings and annual retreats., • Manage the provision of technical assistance in resolving problems for faculty, staff, and students., • Compose and produce business correspondence, reports, and related materials, or guide the work of other staff that prepare these materials., • Manage and maintain confidential student files and records., • Maintain an adequate filing system so that information can be quickly retrieved., • EXPERIENCE:, • Three (3) years or more., • One (1) year as an Executive Secretary preferred., • Experience in a university setting., • SKILLS:, • Ability to analyze and solve problems., • Ability to communicate effectively, both verbally and in writing., • Ability to create, compose and edit written materials., • Ability to gather data, compile information, and prepare reports., • Ability to make administrative/procedural decisions and judgments., • Ability to monitor and train clerical staff., • Database management skills., • Records maintenance skills., • Skill in organizing resources and establishing priorities, • PC proficient.
