Job DescriptionSalary: $150,000 - $200,000/annual Role Overview The Director of Tenant Coordination - Retail serves as the lead owner of tenant delivery across Stockdale Capital Partners retail platform, overseeing tenant spaces within a growing portfolio of operating and redevelopment assets throughout the Western United States. This role oversees tenant onboarding, design review, permitting, construction execution, signage coordination, and store openings, ensuring tenants open on time, within budget, and in full compliance with lease requirements, landlord standards, and life-safety regulations. Operating within an owner-operator, private equity environment, the Director partners closely with Leasing, Legal, Asset Management, Development, and Property Management to accelerate speed-to-open, reduce risk, and protect asset value. As Stockdale continues to invest in acquisitions, redevelopments, and active leasing initiatives, this role plays a critical part in translating strategy into execution by owning and self-managing a portfolio of tenant improvement projects that bring new and re-merchandised spaces to market. This position serves as the lead tenant coordination role within a growing platform, offering a unique opportunity to build, refine, and implement processes and standards as the organization scales. Success in this role requires a builder mindset and comfort operating with autonomy in an evolving environment, while delivering disciplined, high-quality execution that directly impacts leasing momentum, tenant experience, rent commencement, and long-term asset performance. Key Responsibilities • Tenant Onboarding & Store Openings, • Own and oversee the tenant delivery process from lease execution through store opening across the retail portfolio., • Review and markup tenant work letters and lease construction exhibits and identify risks, constraints, and opportunities early., • Align work letter requirements with existing site and space conditions., • Conduct site and tenant space walkthroughs to validate existing conditions and constructability., • Lead tenant and tenant architect coordination meetings throughout design and construction., • Guide new retailers, particularly local and first-time tenants, through the full store opening process., • Oversee distribution and enforcement of Retail Design Criteria, signage standards, tenant welcome manuals, and Operations Guides., • Coordinate build-out timelines, site access, utilities, and after-hours work approvals., • Establish and manage critical path milestones, including:, • Plan approvals, • Permit submissions and approvals, • Construction start, • Inspections (building, fire/life safety, health, etc.), • Store opening, • Proactively manage delivery dates tied to lease obligations and escalate risks with recommended solutions. Pre-Lease & Due Diligence Support • Support Leasing and Legal during pre-lease execution by reviewing proposed tenant scopes against existing conditions, infrastructure capacity, and landlord standards., • Coordinate and review Letters of Design (LOD), test fits, and preliminary planning packages to validate feasibility, constructability, and schedule impacts., • Identify required landlord work, infrastructure upgrades, or code considerations early in the deal process and communicate implications clearly to internal stakeholders., • Participate in early site walks and diligence reviews to surface risks related to utilities, life-safety, access, and phasing prior to lease execution. Tenant Improvements (TI) & Construction Oversight • Direct and oversee all tenant improvement (TI), landlord work (LLW), gray box, vanilla shell, warm shell, and redemise projects., • Review and approve tenant design drawings for compliance with landlord Retail Design Criteria, storefront standards, ADA, MEP, and life-safety requirements., • Partner with architects, engineers, and consultants to achieve high-quality, brand-appropriate design outcomes., • Provide final design approvals and oversee incorporation into construction documents., • Ensure consistency of design, quality, and execution across the portfolio., • Oversee tenant plan check, permitting, inspections, and approvals with local jurisdictions., • Provide leadership on contractor selection strategy and oversee RFPs, scopes, and vendor engagement as needed., • Monitor construction progress through reports, site visits, and milestone walkthroughs., • Coordinate tenant tie-ins to landlord systems, including electrical, water, HVAC, grease, fire/life safety, and data., • Identify, escalate, and resolve construction conflicts, change orders, and scope discrepancies impacting cost or schedule. Retail Signage & Brand Presentation • Oversee the tenant signage approval and delivery process across all retail assets., • Ensure signage complies with landlord criteria, lease language, brand standards, and municipal codes., • Review and approve signage drawings, mockups, and shop drawings., • Coordinate signage permitting, fabrication timelines, and installation sequencing. Cross-Functional Leadership & Collaboration • Serve as the primary retail tenant coordination leader across the organization., • Partner closely with Leasing and Development to support deal execution, tenant planning, budgeting, and sequencing., • Coordinate with Legal on work letters, LLW, scope changes, and construction-related lease language., • Collaborate with Asset Management, Development, Design, and Property Management to align tenant delivery with broader asset strategies., • Proactively surface risks and opportunities impacting NOI, delivery timing, or tenant experience, with actionable recommendations., • Establish and maintain consistent tenant coordination standards, tools, and processes across the portfolio., • Mentor and support Tenant Coordination and Construction team members as applicable. Reporting, Controls & Closeout • Maintain portfolio-level visibility into tenant delivery status, risks, and upcoming openings., • Track schedules against lease obligations, rent commencement dates, and penalty exposure., • Oversee tenant construction closeout, including final inspections and certificates of occupancy., • Ensure collection and organization of closeout documentation, including as-builts, lien waivers, warranties, and cost reconciliations., • Partner with Legal and Accounting to support tenant allowance reimbursement and project closeout., • Maintain master files for tenant criteria, contractor rules, approvals, and correspondence. Qualifications • Bachelors degree in Architecture, Design, Construction Management, Engineering, or a related field., • 5+ years of progressive experience in tenant coordination, retail construction project management, or equivalent owner-side experience., • Strong understanding of retail construction, permitting, and life-safety requirements., • Demonstrated ability to read and interpret construction drawings, specifications, and lease language., • Architectural background with strong design judgment, construction experience strongly preferred., • Working knowledge of building systems, including MEP, HVAC, fire/life safety, and structural., • Proven ability to manage multiple assets and complex tenant pipelines simultaneously., • Strong leadership, communication, and cross-functional collaboration skills., • Experience with AutoCAD preferred but not required., • Willingness to travel between properties as needed.
