Job Description Job Title: Project Coordinator Department: Project Management Reporting To: VP of Operations Job Summary The Project Coordinator supports the successful execution of custom museum and exhibit fabrication projects by coordinating pre-production, procurement, and in-house fabrication activities. Working closely with Project Managers and production teams, this role helps translate project requirements into clear production plans and ensures the shop has the information, materials, and resources needed to deliver high-quality work on schedule and within budget. This role requires strong organizational skills, practical fabrication knowledge, and the ability to coordinate across multiple teams in a fast-paced production environment. Job Description The Project Coordinator supports the in-house fabrication of custom exhibit projects from pre-production through final completion. Working closely with Project Managers, Detailers, and Production teams, this role helps translate project requirements into actionable production plans while ensuring the shop has the information, materials, and resources needed to execute efficiently. Responsibilities include reviewing fabrication drawings for constructability and shop readiness, coordinating fabrication packages, managing work orders and procurement, supporting vendors and subcontractors, and maintaining accurate production documentation. The role also supports production tracking, quality control, logistics coordination, and communication to help keep projects aligned with schedule, quality, and budget expectations. Success in this role requires strong organizational and communication skills, technical knowledge of fabrication methods and materials, and the ability to work effectively in a fast-paced production environment. This role at times may also take the lead in smaller projects ranging between $250,000 and $750,000 in effort to streamline overall Project Management operations for all projects. Key Responsibilities Project Coordination • Track project schedules, key milestones, and production deadlines., • Participate in project meetings, production reviews, and coordination calls as required., • Maintain project documentation, work orders, and purchase orders in Procore., • Coordinate delivery readiness with shop, logistics, and shipping teams., • Coordinate across production departments including fabrication, graphics, interactives, logistics, and project management to ensure smooth execution. Project Management Support • Support Project Managers by monitoring fabrication progress, subcontractor deliverables, production hours, and shipment readiness., • Evaluate design intent and identify fabrication risks, constructability concerns, cost impacts, and opportunities for efficiency., • Support value engineering efforts by identifying opportunities to simplify fabrication, reduce cost, improve efficiency, and maintain design intent., • Recommend efficient production methods, construction sequencing, and assembly strategies to improve shop and installation outcomes., • Track fabrication hours against labor budgets and flag variances to Project Managers and Operations leadership. Resource Coordination • Monitor fabrication progress and coordinate workflow with shop foremen and department leads., • Coordinate with Director of Production to align in-house shared labor resources and production priorities across multiple active projects., • Coordinate with local and specialty vendors to support fabrication schedules and technical requirements., • Create, issue, and track Purchase Orders for specialty vendors, subcontractors, and outsourced fabrication., • Conduct accurate material take-offs and coordinate procurement of hardware, sheet goods, specialty materials, and fabrication components., • Create, issue, and manage shop Work Orders for shop production. Production Support • Support drafting and detailing teams by providing technical production input to ensure construction intent is clearly communicated to fabrication teams., • Assist in final drawing and production reviews prior to fabrication release., • Review and release fabrication packages to the shop, ensuring drawings and documentation are complete, current, and construction ready., • Compile cut sheets and technical notes., • Evaluate materials based on performance, durability, aesthetics, cost, availability, safety, and manufacturability., • Ability to support production from drafting through CNC, carpentry, metal, integration, finishing, and shipping. Quality Control • Perform quality control reviews throughout production and prior to completion; identify deficiencies and coordinate corrective action as needed., • Support quality control throughout fabrication by validating workmanship, dimensional accuracy, finish quality, quantities, and execution against design intent and Kubik Maltbie standards. Qualifications • Experience in museum, exhibit, or specialty fabrication environments - including fabrication methods, carpentry, millwork, metalwork, plastics, graphics production and finishing processes, with hands on experience strongly preferred, • Minimum 2 years of experience in project coordination, fabrication coordination, or production support within exhibit fabrication, millwork, custom fabrication, or similar environments., • Certificate, associate’s degree, or bachelor’s degree in Construction Management, Project Management, Industrial Design, Fabrication, Engineering Technology, or a related field preferred. Equivalent industry experience will also be considered., • Ability to read and interpret construction drawings, fabrication drawings, and shop documents., • Strong organizational and time management skills with excellent attention to detail., • Ability to manage multiple priorities in a deadline-driven environment., • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with MS Project preferred., • Experience with Procore or similar project/document control systems preferred. Compensation • Salary Range: $70,000 – $80,000 annually, • Benefits: 401(k), medical, dental, paid time off, • Location: Primarily in-office, with up to 1 day per week work-from-home eligibility
