Position Overview We are seeking a highly organized, professional, and personable Administrative Coordinator / Receptionist to serve as the first point of contact for our clinic. This role is critical in ensuring smooth day-to-day operations, supporting clinical staff, and delivering an excellent experience for families. Your responsibilities will include coordinating schedules, managing inventory and purchasing, and supporting the development and implementation of programs that enhance patient care and clinic efficiency. You will work closely with both clinical and administrative teams to ensure smooth day-to-day operations while maintaining a warm, welcoming experience for clients and their families. Candidates with prior experience as a Behavior Technician (BT) are strongly preferred, as it provides valuable insight into the clinical environment. Key Responsibilities Client Experience & Front Office Operations • Serve as the first point of contact for clients and families, providing a warm, professional experience, • Answer and manage incoming calls, emails, and inquiries, • Maintain a clean, organized, and welcoming front office environment Scheduling & Coordination • Manage and coordinate schedules for BCBAs and RBTs to ensure optimal coverage and efficiency, • Schedule client sessions, assessments, and meetings, • Adjust schedules in real-time to accommodate changes and minimize disruptions Insurance & Documentation • Verify insurance benefits and eligibility, • Assist with intake documentation and ensure all required paperwork is complete, • Maintain accurate client records and compliance with internal processes Team Support • Collaborate closely with BCBAs, RBTs, and leadership team, • Support onboarding coordination and administrative workflows, • Assist with reporting, tracking, and general office operations Operations & Program Support • Assist with inventory management and clinic purchasing, • Support the development and implementation of programs that enhance patient care and clinic efficiency, • Collaborate closely with clinical and administrative teams to ensure smooth operations Qualifications • High school diploma required; Associate’s or Bachelor’s degree preferred, • 2+ years of administrative, receptionist, or office coordination experience, • Preferred: Experience in a medical office, ABA clinic, or preschool/daycare setting. Familiarity with ABA therapy or working in a healthcare/therapy setting is a plus., • Strong organizational and multitasking skills, • Excellent communication and customer service skills, • Ability to handle sensitive information with professionalism and discretion, • Proficiency with scheduling systems, EMRs, and Microsoft Office/Google Workspace, • Professional demeanor and a positive attitude, • Bilingual candidates are strongly encouraged to apply to better serve our diverse clientele.
