Job Description Job Summary: We are seeking a compassionate and organized Veterinary Receptionist to join our veterinary hospital team. As the first point of contact for clients and their pets, you will play a crucial role in providing exceptional customer service, managing appointments, and ensuring smooth daily operations. You will assist in coordinating client interactions, managing phone calls, and supporting the veterinary team in delivering high-quality care. Key Responsibilities: • Client Interaction:, • Greet clients and their pets warmly upon arrival, creating a welcoming and professional atmosphere., • Answer incoming phone calls, schedule appointments, and address client inquiries in a friendly and efficient manner., • Provide clients with information about services, policies, and procedures, and offer general advice when appropriate., • Handle client concerns or complaints calmly and professionally, escalating issues to management when necessary., • Assist clients with checking in and out, including processing payments, handling billing inquiries, and ensuring all paperwork is completed accurately., • Appointment Scheduling & Coordination:, • Manage the scheduling of appointments for routine exams, surgeries, and other veterinary services., • Ensure optimal scheduling of appointments to minimize wait times while maximizing efficiency., • Remind clients of upcoming appointments and assist with rescheduling or canceling as needed., • Confirm patient information and payment methods when necessary., • Administrative Support:, • Maintain accurate client records, including updating contact information and medical histories., • Manage the clinic's appointment book, ensuring that it reflects real-time availability and preventing overbooking., • Process client payments; issue receipts; and handle cash, credit, or debit transactions., • Assist with the filing and organization of patient records, both digital and physical., • Communication & Coordination:, • Serve as the liaison between clients and veterinary staff, ensuring that all relevant information is communicated clearly and promptly., • Prepare and send reminders for vaccinations, preventive care, and follow-up appointments., • Collaborate with the veterinary team to ensure smooth patient flow, including alerting veterinarians or technicians when clients and pets are ready., • Communicate any changes to the schedule or clinic policies to clients in a timely and professional manner., • Facility Management:, • Maintain a clean and organized reception area, ensuring that it is presentable and comfortable for clients., • Ensure that necessary supplies for the reception desk are stocked, including office supplies, forms, and educational materials for clients., • Client Education & Marketing:, • Promote clinic services, products, and seasonal campaigns to clients when appropriate., • Assist with client education regarding preventative care, pet health, and other veterinary services. Qualifications: • High school diploma or equivalent required; additional education or certifications in customer service or office management is a plus., • Previous experience as a receptionist or in customer service is preferred, especially in a veterinary or medical office setting., • Strong communication skills, both written and verbal, with the ability to engage with clients professionally and empathetically., • Exceptional organizational skills and the ability to manage multiple tasks efficiently in a fast-paced environment., • Ability to handle confidential information with discretion and professionalism., • Proficiency in office software (e.g., Microsoft Office) and experience with scheduling software or practice management systems is preferred., • Basic understanding of veterinary terminology and procedures is a plus, but not required., • Strong attention to detail and the ability to problem-solve effectively. Physical Requirements: • Ability to sit or stand for long periods., • Occasional lifting of up to 25 lbs., • Must be comfortable working in a busy environment with regular interaction with pets and pet owners.
