Position Overview The Business Operations and Finance Manager will work closely with Bear Construction’s ownership and leadership team to improve financial visibility, internal controls, business systems, and company processes. This role connects accounting, operations, project management, estimating, administration, software, data, and employee training. We need someone who can take an unclear problem, determine what is needed, build a practical solution, document the process, train the people involved, and make sure the system continues to work. This is not simply a bookkeeping, office-management, or IT-support role. What Success Looks Like • Accurate and timely financial reporting, • Clear visibility into cash flow, job costs, company performance, and financial risk, • Reliable month-end close and account reconciliation, • Strong controls over billing, collections, payroll, accounts payable, purchasing, and job costing, • Clear, documented, and repeatable company processes, • Reliable software and accurate company data, • Employees who understand and correctly use company systems, • Leadership receiving completed analysis, clear recommendations, and practical next steps, • Financial and operational risks identified early, • Practical use of automation and AI to improve accuracy, save time, and support better decisions, • Less dependence on ownership to solve every reporting, process, or systems problem Duties and Responsibilities • Maintain the accuracy of QuickBooks Enterprise, IES Contractor, and related financial systems, • Lead and improve month-end close and account-reconciliation processes, • Prepare financial statements, cash-flow forecasts, WIP schedules, job-cost reports, budgets, and management reports, • Monitor job costs, committed costs, retainage, billing, collections, and potential margin fade, • Explain financial information clearly and provide leadership with recommended actions, • Strengthen controls over accounts payable, accounts receivable, payroll, purchasing, billing, and job costing, • Build and maintain procedures, checklists, controls, and training materials, • Improve workflows across accounting, project management, estimating, operations, and administration, • Maintain accurate software, permission, license, subscription, and system records, • Establish standards for company data, file organization, and recordkeeping, • Coordinate software implementation, testing, documentation, and employee adoption, • Train employees on approved software, processes, controls, and procedures, • Identify and implement practical AI, automation, and system integrations using appropriate testing, security, access, and human-review controls, • Coordinate with accountants, banks, software vendors, IT providers, insurers, and other professional partners, • Perform other related duties reasonably assigned within the position’s finance, business-operations, systems, and management responsibilities Work Environment and Essential Functions • Primarily office-based and on-site in Murfreesboro, Tennessee, • Regular full-time schedule, typically Monday through Friday, • Additional time may occasionally be required for month-end close, reporting deadlines, or system implementations Essential functions include sustained financial and systems work; preparing detailed reports; communicating and training across departments; protecting confidential information; and occasional travel. The employee must be able to perform these essential functions, with or without reasonable accommodation. Required Qualifications • Proven experience in business operations, finance, accounting, management, or a closely related position, • Strong understanding of financial reporting, cash flow, account reconciliation, budgeting, and accounting controls, • Experience improving business processes, systems, controls, or operating procedures, • Strong analytical, organizational, communication, and problem-solving ability, • Ability to exercise independent judgment within assigned authority, • Ability to take ownership of important assignments and carry them through completion, • High standards for accuracy, confidentiality, professionalism, security, and accountability, • Strong working knowledge of Microsoft Excel and business software, • Ability to learn unfamiliar systems and understand how information moves between departments and software platforms, • Hands-on experience building or administering AI agents, workflow automations, no-code systems, or supported integrations with appropriate security and human-review controls Preferred Qualifications • Experience with QuickBooks Enterprise, • Experience with construction accounting, job costing, WIP reporting, retainage, or another project-based business, • Experience managing software, data accuracy, employee training, or system implementation, • College degree in Accounting, Finance, Business, Information Systems, or a related field equivalent professional experience will be considered. Candidates should be prepared to explain the reports, processes, controls, systems, automations, or integrations they personally built or managed and the results they produced.
