Position Title Student Services Coordinator Department Academic Affairs Reports To Vice President for Academic Affairs Classification Full-time, Non-Exempt (40 hours per week) Schedule Hybrid (2 to 3 days on-site weekly when Residency Weeks are not in session); 100 percent on-site during Residency Weeks Location San Francisco Film School, San Francisco, California Travel Minimal local travel to SFFS-affiliated studios or location shoots Position Summary San Francisco Film School (SFFS) seeks a Student Services Coordinator to support two connected dimensions of the student experience: the operations that make courses and Residency Weeks run, and the year-round advising that keeps students on track between residencies. Reporting to the Vice President for Academic Affairs, this position serves as the host and operational owner of every Residency Week, coordinates the external spaces that courses and residencies depend on, performs academic administrative work in support of the department, and serves as the primary academic advisor for students across SFFS’s Digital Filmmaking, New Music Production, and Emerging Audio Technology programs. The ideal candidate is part producer, part advisor, and part systems-builder. They thrive in the controlled intensity of an active residency, where schedules, instructor logistics, equipment readiness, venue coordination, and attendance all need to land cleanly within a compressed window, and they are equally effective in the steady weekly rhythm of monitoring attendance, reaching out to a student who has missed class, and documenting the intervention in Populi, the institution’s student information and learning management system. This is a role for someone who treats operational excellence and student care as the same discipline at different timescales. Essential Responsibilities A. Residency Operations and Host • Plan and coordinate all Residency Weeks across SFFS’s production and studio courses, building detailed daily and weekly schedules of workshops, recording sessions, crew calls, and shoot blocks., • Serve as host and operational owner of each Residency Week, ensuring every session is staffed, every space prepared, all required equipment reserved, and every session runs on schedule., • Staff and brief instructors and on-set instructors, aligning Residency content with course learning outcomes alongside the academic team., • Produce pre-residency welcome packets and ongoing communications (logistics, schedules, attendance, materials, and check-in procedures), and serve as the primary student contact during each residency., • Oversee residency attendance through the Populi mobile ID scanning system with the Registrar’s Office, maintaining records compliant with institutional policy, COE standards, VA benefit requirements, and Title IV., • Plan and run residency events and lead post-residency closeout: surveys, attendance corrections, lessons learned, and updates to packets, templates, and recommendations for SOPs. B. External Space and Venue Coordination • Identify, book, coordinate, and confirm external spaces for both program courses and Residency Weeks, including production studios, live-sound spaces, theaters, and location-shoot sites., • Act as primary liaison with external venues, managing scheduling, access, setup, and on-site logistics., • Maintain a current inventory of approved external spaces, with points of contact, availability, and rates, to support efficient scheduling each term., • Route all venue contracts and expenditures to the Vice President for Academic Affairs for approval, committing no institutional funds without authorization. C. Academic Advising and Student Success (Year-Round) • Serve as assigned Academic Advisor for a SFFS’s Professional Certificate and Associate programs, and participate in retention and Satisfactory Academic Progress (SAP) meetings for advised students., • Monitor weekly attendance and assignment completion via the Academic Risk Dashboard and Populi, and run SFFS’s early alert protocol, making contact within 48 hours of defined triggers (two or more consecutive absences, missing or late assignments, grades below 70 percent, or an instructor engagement flag)., • Hold weekly published office hours and conduct one-on-one meetings to identify barriers, build action plans, and connect students with academic or personal support services., • Provide add and drop guidance, monitor Satisfactory Academic Progress, support Certificate-to-Associate articulation by tracking project quality, CGPA, completion rate, and attendance, and initiate ADA accommodation requests with the Registrar., • Document every student interaction within 24 hours in Populi using standardized SFFS templates, generate monthly advising summaries, and maintain all records in compliance with FERPA. D. Academic Administration (As Assigned) • Perform academic administrative work as assigned by the Vice President for Academic Affairs in support of departmental operations across all SFFS programs., • Maintain fluency in Populi for scheduling, attendance, records, and reporting, and provide first-line support to students on app setup, ID provisioning, and access., • Develop and refine standard operating procedures for recurring academic and residency processes, and implement operational improvements that scale with cohort growth., • Collaborate across the Registrar’s Office, Financial Aid, Admissions, the VA Benefits Coordinator, faculty, the Assistant Dean, and Facilities on compliance, accommodations, and student-level coordination. Required Qualifications • Bachelor’s degree from an accredited institution., • Three or more years of progressively responsible experience in higher education administration, student affairs, academic advising, program coordination, event production, or a related field., • Demonstrated ability to manage complex, multi-stakeholder operations under time pressure., • Strong written and verbal communication across student-facing, faculty-facing, and executive-facing audiences., • High proficiency with student information and learning management systems, spreadsheets, and collaborative documentation platforms., • Demonstrated commitment to student success, equity, and confidentiality., • Availability to work on-site throughout Residency Weeks, including some scheduled evenings and weekends., • Authorization to work in the United States. Preferred Qualifications • Degree in higher education administration, student affairs, counseling, educational leadership, music or audio production, film, or a related discipline., • Direct experience with Populi or a comparable student information or learning management system., • Experience supporting VA-benefit-eligible students and familiarity with Title IV compliance., • Background in film, music, audio production, or another creative arts discipline., • Experience administering ADA accommodations in a postsecondary setting., • Event production or live event coordination experience. Working Conditions and Physical Requirements • Standard 40-hour workweek on a hybrid schedule, typically 2 to 3 days per week on-site when Residency Weeks are not in session and full on-site presence during Residency Weeks; hours worked beyond 8 in a day or 40 in a week are paid as overtime in accordance with California law., • Standard office activity plus periodic light setup of event and instructional spaces, and minimal local travel to SFFS-affiliated studios or location shoots.
