Job DescriptionSalary: $23.50-$25.50 DEPARTMENT: Administration REPORTS TO: Director of Administration LOCATION: Ceres HQ FLSA STATUS: Regular, Full-Time, Non-exempt EXPECTED HOURS:40 hours/week Position Summary The HR Coordinator reports to the Director of Administration and serves as the main point of contact for recruiting, hiring and onboarding all new staff, as well as payroll and time tracking of hourly employees. Requires experience with HR compliance and the ability to maintain confidentiality about sensitive human resources issues, along with personal tact, integrity, judgment, and initiative. Essential Functions and Responsibilities Recruiting, Hiring and Onboarding • Leads the recruiting and hiring process with hiring managers; works with the Director of Administration and hiring managers in updating and finalizing job descriptions before posting., • With oversight and direction from the Director of Administration, boosts critical job postings on various paid sites such as Indeed, Idealist, Glassdoor, etc., • Ensures that proper Candidate Sources links are used for posting across Ceres and external platforms so that candidate source reporting is accurate., • Is proactive in searching for potential candidates on Indeed and other job boards; invites promising candidates to apply., • Communicates with candidates all through the recruitment process, informing them whether they will be continuing and what are the next steps., • Represents Ceres at local job fairs as appropriate., • Works with hiring manager to draft and finalize appropriate interview questions based on each role., • Conducts all initial phone screen interviews., • Schedules and attends all interviews to take notes (dictation); ensures all interview notes are saved to each candidates BambooHR profile in order to maintain compliance with CA retention requirements., • Conducts all professional reference checks., • Works with Director of Administration to complete manager approvals on the terms of new hire offer letters., • Works with hiring manager to determine equipment, email and other access needs; submits new hire requests to IT., • Welcomes and orients new staff on their first day: completes Form I-9, trains on BambooHR, assists in setting up equipment and access, as needed., • Completes HR pre- and post-hire onboarding tasks in BambooHR in a timely manner., • Assigns all required staff trainings and monitors/supports compliance; adds completion certificates to BambooHR., • Updates new hires eligibility on health benefits platform, sends welcome message to eligible staff and monitors elections., • Tracks Ceres property on employees Assets tab in BambooHR., • Monitors and tracks timely completion of 30/60/90-day performance reviews., • Runs the quarterly new hire orientation meeting, communicates the agenda to all presenters and confirms attendance/coverage well in advance. Payroll • Reviews all timesheets prior to approval; addresses meal break violations with employee and manager; adds meal break penalties to payroll as required by CA labor laws., • Runs biweekly payroll submissions with the bookkeeper as backup; prints payroll checks when bookkeeper is unavailable., • Processes grant-required timesheets for signatures., • Assists in annual financial audit by pulling appropriate reports and other data. General HR Support (other duties as assigned) • Nurtures a collaborative, unified, positive, equitable, and inclusive culture across Ceres., • Maintains the organizations BambooHR platform, ensuring accurate and up to date documentation for all employees., • Processes signature requests in BambooHR (timesheets, job descriptions, offer letters, policies, etc)., • Transfers all paper personnel files to electronic format and uploads to appropriate employee folders in BambooHR., • Assists Director of Administration in drafting, finalizing and implementing employment-related SOPs., • Attends HR Committee meetings to take notes and keep abreast of current and future HR projects at Ceres., • Acts as main HR point of contact when Director of Administration is unavailable. Qualifications • A commitment to Ceres Community Projects Mission and Operating Principles., • Background in HR or HR certificate, preferred., • Experience in recruiting, a plus., • Excellent typing speed, essential., • Bilingual in Spanish, preferred., • Knowledge of FLSA, EEOC, DOL and EDD regulations., • Ability to juggle multiple priorities while managing incoming requests and responding in a timely manner., • Ability to maintain confidentiality., • Excellent organizational skills and attention to detail while holding the big picture., • Excellent written and verbal communications skills and the ability to communicate warmly and clearly., • Proficient in MS Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint)., • Experience with HRIS payroll systems, BambooHR preferred., • Ability and desire to be in a work environment that values working as a team, relationships, and giving and receiving honest feedback., • Has a good awareness of self., • Ability to problem solve and ask for help when needed.
