Job DescriptionExecutive Assistant: The Chief Executive Assistant to the CEO enhances firm leadership effectiveness by streamlining operations and enabling Partners to focus on driving growth, client relationships, and strategic decision-making. You’ll act as a strategic partner, helping drive priorities, manage critical communications, and keep the firm operating at its best. You’ll work closely with executive leadership, gain exposure to firm-wide strategy, and have a meaningful impact on how decisions are executed. What you’ll need to be our Chief Executive Assistant: • Formal administrative and/or executive support training, certifications, or continuing education, preferred, • Strong organizational and project management skills, with the ability to manage multiple high-priority tasks under tight deadlines, • PMP Certified, preferred, • Highly professional verbal and written communication skills, including drafting and editing executive-level documents, • High degree of discretion in handling sensitive and confidential information, • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), • Serve as the primary liaison between the Executive Committee and internal and external stakeholders, ensuring clear, timely, and professional communication, • Manage complex calendars, travel arrangements, and scheduling with a focus on aligning Partner time to strategic priorities, • Prepare, review, and maintain highly confidential correspondence, reports, and presentations for executive decision-making, • Organize and document Executive Committee meetings, including agenda development, materials preparation, and accurate minutes tracking, • Anticipate the needs of Partners by proactively identifying priorities, potential conflicts, and required resources, • Oversee information flow across departments, ensuring accuracy, confidentiality, and alignment with leadership priorities, • Draft, edit, and format executive-level communications, presentations, and documents that reflect the firm’s professionalism and brand, • Support special projects and initiatives on behalf of the Executive Committee, including research, coordination, and execution, • Cultivate trusted relationships across the firm to foster collaboration and facilitate smooth information flow between leadership and the organization, • Maintain regular and professional communication with external partners, vendors, and clients to support positive working relationships, • Coordinate with internal teams to provide accurate information and resolve issues on behalf of Partners, • Maintain organized executive records, files, and systems to ensure accessibility and compliance with firm standards Benefits & Perks: • Medical, dental, vision, 401k (with company match), • Unlimited PTO and paid holidays, • Flexible work schedule, • Paid parental leave for moms and dads (birthing and adoption), • Casual dress, • Team building - parties, contests, wellness, service projects, • Cell phones - Phone and data plans 100% covered, add your spouse for $40/month Who we are: Haynie & Company has grown from a single office to 13 locations in 5 states with more than 400 team members.
