SUMMARY: The Lead Center Operations Specialist provides frontline leadership and support to ensure smooth daily operations within the center. This role monitors the morning scheduling line, manages day-to-day schedule adjustments, and ensures accurate communication of changes to staff, families, and supervisors. In the afternoons, the Lead Specialist serves as the main point of contact for prospective families, leading center tours, assisting with referral inquiries, and supporting the intake process. As a key support to the Center Operations Supervisor and Manager, this position helps maintain a structured, safe, and welcoming environment for learners, staff, and visitors while carrying out delegated duties that advance ABtA's mission, values, and operational standards. A Bridge to Achievement is seeking an Administrative Professional to join our team at our University center location! This role is onsite and requires availability to work: Monday through Friday, 6:30 AM to 3:00 PM. ESSENTIAL FUNCTIONS: • Open and/or close the center as a keyholder, following all safety and security procedures., • Act as a liaison with outside parties (e.g., delivery drivers, visitors, parents), ensuring professional communication and directing them appropriately., • Maintain required center records (e.g., confidentiality forms, sign-in systems) in compliance with HIPAA standards., • Support group activities as needed (co-captain duties) and assist with event setup and breakdown, • Monitor the morning scheduling line and coordinate same-day schedule adjustments in collaboration with clinical staff and the Center Operations Supervisor., • Utilize ABA program management software to adjust schedules, remedy conflicts, and maintain staff/learner profiles (CR labels, availability, accepted hours)., • Calculate and add documentation time for BTs/RBTs, including billing conversion, incident reports, and other required records., • Ensure timely and accurate communication of schedule changes using multiple methods (calls, emails, texts, radios), • Serve as the first point of contact for prospective families, responding to inquiries and scheduling center tours., • Lead on-site center tours for referrals, families, and new staff, providing a welcoming and informative introduction to ABtA's programs and values., • Assist families in completing initial paperwork and gathering intake information to support a smooth transition into services., • Maintain consistent communication with the Center Operations Supervisor and Manager regarding center issues, proposed solutions, and ideas for process optimization., • Provide support across the center during the day, including responding to radio calls for toileting assistance, behavior support, or maintaining ratio requirements (e.g., 2:1 coverage)., • Consistent Hours: Enjoy a predictable schedule with 40 hours weekly., • Premium Pay: Get Exceptional Wages that are highly competitive—you deserve it!, • Recharge & Reset: Enjoy Generous Paid Time Off (PTO) so you can actually take that Vacation!, • Holiday Bliss: Celebrate with Paid Holidays—because your time off should be stress-free., • Comprehensive Benefits: We offer great health, dental, vision, and life insurance. Job Types: Full-Time Only Compensation: $19.00 - 24.00 QUALIFICATION REQUIREMENTS: • High school diploma or equivalent required; Associates degree or above in psychology, business administration, marketing, communications, or a related field preferred, • Minimum of one year of overall administrative experience in a healthcare, therapy, or behavioral health setting required, • Minimum of one year of overall experience within the ABA field required, • RBT (Registered Behavior Technician) certification is required, • First Aid and CPR certification is required, • Alternatives to Restrictive Intervention Training required KNOWLEDGE, SKILLS, & ABILITIES: • Demonstrated commitment to upholding ethical standards and fostering a workplace culture rooted in ABtA's B.R.I.D.G.E. values—belonging, respect, integrity, and collaboration., • Proven ability to remain adaptable, solution-focused, and calm under pressure in a fast-paced, dynamic center environment., • Strong leadership and mentorship skills, with the ability to guide, motivate, and support team members toward shared operational goals., • Exceptional organizational and time-management abilities, with strong attention to detail and the capacity to manage multiple priorities without compromising quality., • Skilled in identifying operational challenges and implementing innovative, process-driven solutions that improve efficiency and service delivery., • Excellent interpersonal, written, and verbal communication skills, with the ability to engage with staff, families, and leadership in a professional, compassionate, and inclusive manner., • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace (Gmail, Sheets, Docs, Drive), and ABA-specific data and scheduling systems, • Collaborative team orientation with a high degree of accountability, reliability, and initiative in supporting both clinical and operational objectives., • Must be able to observe and move with children in their natural environments (e.g. ABtA center, home, school and/or outside or in community), • Must be able to demonstrate working and playing with children; must be able to sit on floor on ground and move easily in this capacity, • Must be able to perform the following gross motor activities:, • Climbing (e.g. upon playground equipment), • Bending over (e.g. to assist child with writing or pick up reinforcers off ground), • Squatting (e.g. to assist child putting on shoes), • Running (e.g. running through a sprinkler with a child), • Carrying (e.g. teaching materials, toys, art supplies) up to 15lbs, • Must be able to perform the following fine motor activities:, • Pincer grasp (e.g. manipulation of teaching PECS icons), • Writing (ex. Filling out paper form with a pencil or pen), • Using scissors and various craft supplies, • Grasping objects (e.g. keys, door knobs, etc), • Twisting of hands/wrist or fingers (e.g. Tying Shoes, fastening a button, using a zipper, etc), • Must be able to demonstrate working and playing with children; must be able to sit on floor on ground and move easily in this capacity, • Must be able to lift children up to 50lbs, • Must be able to utilize safe non-violent crisis intervention techniques with program participants of all ages (raising arms above head to block, stepping back, reaching behind shoulders, etc), • Must be able to teach and assist with toileting skills. (eg. changing diapers, lifting on an off toilet), • While performing the duties of this job the employee is regularly required to operate a computer, telephone, tablet, and keyboard WORK ENVIRONMENT: This position works primarily out of a climate-controlled ABtA center/office location that complies with all relevant safety and accessibility regulations.This position works primarily indoors, but some locations may have an outdoor playground which would expose the employee to natural elements when working with learners who have transitioned outdoors. Employees are expected to contribute to maintaining cleanliness and tidiness in shared areas while at the office. Employees may be subject to various noise conditions based on room usage, room type and the use of radio systems to communicate across the building. Employees are expected to assist learners in the bathroom for toilet training and diaper changing. While the role primarily involves office/center-based work, occasional opportunities for remote work may be available, subject to manager approval and job requirements. Remote work offers the flexibility to work from any location with a stable internet connection that has minimal distraction with adaptable technology needed.
