About The Role This role is suited to a highly motivated, results-driven Executive Assistant who will support Partners and team members within the London Office Leasing department. You will deliver proactive, efficient, and high-quality support, working collaboratively with the wider business support network to ensure the smooth running of a busy, fast-paced team. Key Responsibilities Stakeholder Support • Provide executive assistance to Partners and team members, including proactive diary and email management, scheduling internal/external meetings, viewings, and calls, and preparing all necessary documentation., • Coordinate Board meetings and team strategy away days, including preparing Board packs., • Manage internal and external presentations, liaising with in-house creative and business development teams, external printers, and the post room., • Prepare documents, including audio/copy typing letters, memos, minutes, schedules, mailshots, and extensive reports, ensuring accurate formatting, printing, and binding., • Arrange UK and international travel, producing detailed itineraries and travel packs where required. Business Coordination • Act as an ambassador for the London Office Leasing Head and broader team., • Build and maintain strong collaborative relationships with clients, managers, and colleagues., • Support team financial processes, including:, • WIP reconciliation and billed/unbilled debtor coordination, • Managing client invoicing to meet quarterly deadlines, • Monthly travel approvals, subscriptions, supplier invoice processing, • Expense claim coordination for Partners, • Referral administration, • Attend team WIP meetings, take minutes, and follow up on actions., • Support training administration, ensuring mandatory training is up to date and promoting development opportunities., • Prepare correspondence and team documents including letters, memos, newsletters, and design materials., • Manage team inboxes, prioritising and responding to enquiries where appropriate., • Organise team meetings, corporate travel, conferences, and away days, preparing briefing packs., • Minute Board and management meetings and track actions., • Liaise with IT to help troubleshoot system issues., • Collaborate with the wider London Offices business support network to share best practices and provide cross-team support during peak periods., • Coordinate new starter onboarding and leaver processes alongside the Operations Manager., • Support appraisal coordination and maintain RICS CPD records. Processes & Efficiency Coordination • Support Partners and team members in streamlining processes and promoting efficient working practices., • Manage HUB coordination including inspections, instructions, and ensuring client records are accurate and regularly updated., • Act as a Best Practice expert for risk, audit, and compliance, ensuring property files meet policy and audit standards., • Serve as Information Security Champion for the team, ensuring adherence to policies and escalation of issues., • Maintain accurate contact information across all internal platforms., • Ensure team filing, storage, and retrieval systems are well-organised and maintained. Programme & Project Coordination • Act as the team’s Marketing Communications Coordinator (MCC), ensuring collateral meets brand guidelines and liaising with marketing on invites, capability statements, track records, research documents, and social media activity., • Lead Corporate CRM and Business Development coordination, including pitch creation with creative and BD teams, and managing printing and production workflows., • In your role as Client Relationship Support (CRS), assist the CRP team in delivering key client service tasks., • Plan and deliver events—from initial brainstorming to venue research, invitations, collateral creation, RSVP management, and on-site client hosting., • Contribute to KFX with ideas and initiatives. Experience Required • 5+ years’ experience in a similar administrative or operational support role, • Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) Why Knight Frank?
