Job Title: Office Manager\nLocation: West Edinburgh\n Salary: £28,000 - £32,000 DOE\n Start date: As soon as possible\n Hours: 35 hours per week (Initial full time onsite period, then hybrid)\n\nThe Opportunity\nOur client is looking for a highly organised, proactive and hands-on Office Manager to become the operational backbone of their close-knit team.\n\nThis is a varied and rewarding position that combines office management, executive support, supplier coordination, compliance administration and logistics management. You'll play a pivotal role in ensuring the smooth day-to-day running of the business, working closely with key stakeholders and taking ownership of essential operational processes.\n\nThis opportunity is ideal for an experienced office professional who enjoys autonomy, thrives in a fast-paced environment and takes pride in keeping everything running efficiently behind the scenes.\n\nKey Responsibilities\n\nAs Office Manager, you will be responsible for:\n\nCoordinating travel and logistics arrangements, including flights, accommodation, vehicle hire, parking, deliveries and collections.\nReviewing and processing expenses, ensuring accuracy and compliance with company procedures.\nManaging accreditation and compliance administration, including maintaining records and monitoring renewal schedules.\nOverseeing health and safety administration, ensuring servicing schedules, certifications and compliance requirements are maintained.\nLiaising with suppliers and service providers, obtaining quotations and managing follow-up activities.\nSupporting business operations through meeting coordination, note-taking and maintenance of digital filing systems.\nManaging office supplies, equipment and facilities-related requirements.\nCoordinating IT, telecommunications and software subscription administration.\nSupporting onboarding processes, including documentation, right-to-work checks and equipment allocation.\nManaging diaries, calendars and meeting arrangements.\nActing as the first point of contact for general enquiries and administrative matters.\nMonitoring outstanding actions and helping to keep projects and business activities on track. \n\nAbout You\nTo be successful in this role, you will bring:\n \nEssential Experience\n\nPrevious experience in an Office Manager, Senior Administrator or similar position.\nProven ability to work independently and manage responsibilities with minimal supervision.\nExperience juggling multiple priorities within a busy and dynamic environment.\nExcellent organisational and administrative skills with strong attention to detail.\nConfidence building relationships with external suppliers, partners and stakeholders.\nStrong IT skills and a practical, technically minded approach.Personal Qualities\n\nProactive, self-motivated and able to take ownership of tasks.\nStrong communication and interpersonal skills.\nA solution-focused approach with excellent problem-solving abilities.\nFlexible and adaptable, with the ability to thrive in a small team environment.\nProfessional, reliable and committed to delivering high standards.Interested?
