Job Purpose The Safety Administrator provides administrative and clerical support to the Safety Director and the Safety Department. The Safety Administrator is responsible for all transactional input, reporting and systems related support for employees and the Safety/Risk Management function. What You'll Do • Create Safety Certificates., • Track all safety meetings, PTP, and other documentation from field., • Create new job safety packets upon notification from Contracts Administrator or Branch about new jobs., • Manage safety inventory and supplies., • Anticipate and assess needed supplies. Submit invoices of supplies to accounting. • Prepare and distribute correspondence, reports, forms, and documents., • Maintain filing and record-keeping systems., • Assist with requests and provide information on safety-related inquiries., • Escalate complex issues to the Safety Director as needed., • Research, compose, design, or edit safety publications such as brochures, flyers, forms, manuals, or presentations., • Assist in preparing and distributing safety/risk management correspondences, reports, studies, forms, and documents., • Create and maintain spreadsheets for tracking processes related to safety programs, trainings, etc., • Assist the Safety Director in developing new programs and updating existing ones., • Attend safety-related meetings and write and distribute minutes., • Assist with the coordination of safety events, including safety luncheons, trainings, and safety committee meetings., • Perform any other job-related duties or function as assigned by management., • Accountable for leading efforts in implementing continuous improvement initiatives and methodologies to improve processes and increase efficiency., • Participate in CECI Continuous Improvement events as needed (ex: JDI, RIE & A3's), • Maintain SOPs (Standard Operating Procedures) for compliance practices and other associated functions. What You'll Bring • High School Diploma or equivalent, • 3-5 years experience in an administrative position or general clerical setting, • Proficient in using safety databases to efficiently maintain and update records., • Strong administrative skills with the ability to prepare and distribute correspondence, reports, and documents., • Excellent record-keeping and filing capabilities for maintaining organized systems., • Effective verbal and written communication skills to respond to safety-related inquiries promptly., • Ability to compose, design, and edit safety publications with clarity and precision., • Experience in managing inventory and supplies, including anticipating needs, placing orders, and verifying received quantities., • Proficient in using Microsoft Office Suite for various administrative tasks and documentation., • Strong organizational and multitasking abilities to handle various responsibilities simultaneously., • Attention to detail to ensure accuracy in tracking safety documentation and creating certificates., • Ability to work collaboratively with the Safety Director, Safety Coordinators, and other team members to support safety initiatives., • Flexibility to adapt to evolving tasks and responsibilities based on organizational needs., • Basic understanding of safety protocols, regulations, and procedures to provide informed assistance., • Proficiency in creating and maintaining spreadsheets using Microsoft Excel for tracking safety processes and programs., • Ability to assist in resolving safety-related issues and escalating complex matters to the Safety Director when necessary., • Proactive approach in anticipating and addressing safety needs, especially regarding supplies and documentation., • Experience in assisting with the coordination of safety events, such as safety luncheons and trainings., • Ability to handle sensitive information with discretion and maintain confidentiality., • Willingness to stay updated on safety regulations, procedures, and best practices through continuous learning.
