Job Description The Property Manager is responsible for the overall operational, financial, and tenant performance of an assigned portfolio of commercial real estate properties. This role oversees daily operations, asset care, tenant relations, and on-site teams while protecting the company’s investment and delivering an exceptional level of customer service. The Property Manager leads with accountability, professionalism, and a focus on continuous improvement. Key Responsibilities Property Operations & Maintenance • Ensure properties are consistently maintained to the highest standards of appearance, safety, and functionality., • Conduct regular property inspections to identify maintenance needs, damages, or operational issues; ensure daily walks are completed by on-site staff., • Analyze operational challenges and evolving property needs; recommend protocol updates and improvements to the Senior Manager of Property and Assets., • Provide input on capital improvement and renovation planning and execution., • Develop, implement, and modify security protocols as needed; review daily security and incident reports., • Ensure pre-inspections are completed accurately, documented properly, and billed correctly., • Maintain accurate service request documentation and ensure timely, detailed completion by all personnel. Leadership & Team Management • Model exceptional customer service and professional conduct at all times., • Recruit, hire, train, motivate, and develop on-site personnel., • Provide clear direction and expectations to team members, directly or through subordinate leaders., • Conduct annual performance reviews and ongoing coaching and training., • Review and approve payroll timesheets., • Foster a positive team culture, high morale, and accountability through strong leadership. Tenant Relations • Deliver a market-leading tenant experience through proactive communication and responsive service., • Promote positive relationships among tenants, staff, vendors, and the surrounding community., • Ensure tenants are promptly informed of building issues, maintenance activities, and urgent matters. Marketing & Public Relations • Verify market survey data and submit findings to the Senior Manager of Property and Assets as required., • Maintain awareness of local and national market trends and industry conditions., • Build and sustain strong relationships with neighboring properties, community stakeholders, and city officials. Budgeting, Accounting & Rent Collection • Lead the development of annual operating budgets for assigned properties., • Monitor expenses to ensure compliance with approved budgets; obtain approvals for overages., • Enforce purchase order and expense authorization procedures., • Provide timely and accurate budget variance explanations., • Ensure all financial reporting and accounting records are complete and accurate., • Oversee rent collection processes and ensure proper execution of notices when required., • Prepare and submit monthly occupancy reports., • Review and process invoices. Leasing • Develop and execute strategic marketing plans for vacant spaces., • Ensure weekly inspections of vacant spaces are completed and documented., • Conduct routine lease audits to ensure compliance., • Participate in lease negotiations as needed. Risk Management & Compliance • Identify, address, and mitigate potential liability and safety risks related to the property and tenants., • Ensure vendors maintain required insurance coverage and certificates prior to commencing work., • Coordinate review and execution of service contracts through the corporate legal department., • Promote proactive safety communication and documentation by all associates., • Report all property and liability incidents to the Senior Manager of Property and Assets immediately., • Ensure all Workers’ Compensation claims are reported and documented appropriately. Other Responsibilities • Respond professionally and promptly to the needs of clients, company leadership, associates, contractors, and other stakeholders., • Adhere to all company policies and procedures., • Perform additional duties as assigned. Supervisory Responsibilities This position includes leadership and people management responsibilities, including: • Providing strategic leadership aligned with organizational policies and regulatory requirements., • Directing and optimizing departmental performance and operations., • Managing talent acquisition, onboarding, and professional development., • Conducting formal performance evaluations and development planning for direct reports annually. Knowledge & Experience • 3–5 years of experience in commercial property management, facilities operations, hospitality operations, or a related field, including at least 2 years in a leadership role., • Experience managing multi-tenant commercial properties, including work order systems, vendor oversight, preventative maintenance, and inspections., • Working knowledge of commercial leasing fundamentals (lease terms, tenant obligations, CAM, renewals, and escalation processes)., • Proven ability to deliver high-quality tenant experiences through service excellence and relationship management., • Experience developing and managing operating budgets, forecasting, expense controls, and variance reporting., • Familiarity with rent collection processes and coordination with accounting teams., • Experience supporting capital improvement projects and communicating impacts to tenants., • Strong understanding of risk management, safety practices, and incident documentation., • Comfortable operating in a hands-on, resource-conscious environment., • Proficient with Microsoft Office (especially Excel) and property management, work order, and vendor management systems., • Preferred: experience working with ownership groups or senior stakeholders in high-expectation environments., • Preferred: familiarity with local building codes, inspections, and regulatory compliance.
