Job DescriptionDEPARTMENT: Space Sector Programs REPORTS TO: Director of Program Integration POSITION SUMMARY/OBJECTIVE: The Senior Manager of Program Integration position is customer centric, deadline focused and requires a professional demeanor. They will interact with industry leaders, top government officials, and international delegations from around the world. The Senior Manager of Program Integration will perform various tasks and functions supporting the Program Integration Team. They need to maintain composure and remain courteous under pressure while simultaneously interacting with high profile customers and following certain levels of protocol. The position requires dynamic energy, organization, creativity, and a willingness to perform in a fast-paced environment to exceed internal and external customer expectations. It also requires an ability to be flexible with work hours, which may occasionally include evenings and/or weekends, together with extended hours leading up to and during Space Foundation events. RESPONSIBILITIES: The following briefly describes representative responsibilities of this job, but it is not intended to be a complete or all-inclusive listing of activities, duties or responsibilities that are required of this position: • Serves as the Director of Program Integration’s designated representative in meetings., • Proactively identify and escalate risks and issues to the Director of Program Integration to protect program success., • Serve as primary liaison for speaker preparation and logistics, managing on/off-site behind-the-scenes details to provide comprehensive speaker support, ensuring readiness, professionalism, and a high-quality participant experience for all Space Foundation events., • Research and resolve inquiries and/or issues to ensure customer satisfaction, including, as applicable, working through complex questions, processing adjustments to registrations, and composing correspondence to address customer inquiries., • Prepare badges, meal tickets and other registration materials in advance of Space Foundation events., • Maintain a prominent level of protocol and professional customer service., • Follow and communicate established department policies and procedures., • Produce various reports for internal and external customers using different platforms and methods., • Perform other duties and projects as assigned. A fresh, positive perspective and outstanding customer service skills are most important., • The ability to prioritize, multi-task, provide attention to detail, and demonstrate creative problem-solving is essential., • Administrative aptitudes/proficiency for a general office setting., • Ability to quickly learn and utilize new software applications., • Accomplished and comfortable in face-to-face public interaction, particularly with distinguished visitors and prominent government and military leaders., • Professional, cordial etiquette and an advocate of a team environment., • Ability to take initiative, ask clarifying questions when needed, and carry out responsibilities of position independently when supervisor is out of the office., • Typing, mass e-mailing, tracking programs and schedules, maintaining calendars, word processing, editing, updating websites, and carrying out various mailings, calls and/or emails to speakers and their support staff., • Comfortable with public speaking at Space Foundation events., • This position's responsibilities may require travel domestically and/or internationally, and thus to periodically be away from home for multiple days at a time. QUALIFICATIONS: • Two (2) years of college toward a degree in business administration or two (2) year community college associates degree (or equivalent) in an appropriate field preferred., • Minimum two (2) years of experience in a customer service and protocol environment., • Minimum two (2) years of experience performing a variety of tasks and functions related to the participation of event speakers, to include creating formal communications, orchestrating schedules, carrying out registration processes, assisting with hotel reservations, providing on-site support, and post-event follow-up., • Requires prior experience managing large-scale events, including coordination of complex logistics, multiple stakeholders, and high-profile participants., • One (1) year of experience interacting with senior executives and staff, government officials and aides, international delegations, and other prominent and distinguished individuals., • Intermediate background knowledge on United States Military branches and civil space agencies preferred., • Competent written skills, including proper sentence structure and grammar., • Intermediate to advanced Microsoft office skills, including Word, Excel, PowerPoint, Teams, and SharePoint., • Experience with Launchsquid, Cvent, Swoogo, and Wordpress preferred. PHYSICAL DEMANDS: This position involves extended periods of sitting or standing at a workstation and frequent use of a computer and other standard office equipment. Occasional movement, including walking, lifting, or carrying items up to 25 pounds, may be required. WORK ENVIRONMENT: This role is primarily based in an office environment, with access to standard equipment and furnishings. The employee may occasionally be required to participate in offsite meetings or events, including potential travel as needed. The work environment is quiet to moderate in noise level. JOB STATUS: • FLSA Classification: This position is exempt according to guidelines of the Fair Labor Standards Act and, as such, an individual in this position is not eligible to receive overtime pay., • Full- or Part-Time: This position is full-time in nature. An individual in this position will work a schedule consisting of 40 hours per week., • Work Location: This position’s primary work site is at Space Foundation headquarters in Colorado Springs, CO. The nature and responsibilities of this position are such that it is eligible for alternative worksite arrangements, such as working from home or telecommuting, on a consistent or recurring basis.
