Job Description Position Title: Director of Athletics (12-month) Reports To: Head of School Essential Requirements: • Spiritually mature, born-again Christian, and can articulate a clear testimony of salvation., • Believes the Bible is God’s Word and standard for faith and daily living., • Adheres to the HPCA Statement of Faith., • Is a member in good standing at a local evangelical church with a Statement of Faith that agrees with HPCA’s Statement of Faith., • Motivate and lead staff and students to grow in their faith and realize their self-worth in Christ., • Integrate biblical principles and Kingdom Education philosophy in all interactions with staff, students, and families., • Earned a minimum of a Master's degree in the appropriate field. Hold either an ACSI certification or a state certification., • Lead department and other meetings as directed by the Head of School (HOS) or direct supervisor., • Maintain a secure, clean, attractive, and organized work area at all times., • Regularly attend full staff meetings, division meetings, and faculty/staff devotions., • Represent the school favorably both on and off campus., • Develop and maintain a good rapport with students, parents, and staff by treating others with respect, dignity, and consideration., • Follow Matthew 18 principles when dealing with students, parents, staff, and administration., • Communicate with staff and parents in accordance with the guidelines in the staff handbook. Respond to communication within 24 hours during the work week., • Know the guidelines within the Crisis Management Plan., • Participate in all drills (fire, emergency, etc.) as directed by the administration., • Maintain confidentiality regarding information about students, parents, and staff., • Attend and participate in administrative meetings as scheduled by the HOS., • Attend division meetings with the HOS or direct supervisor., • Communicate the weekly work schedule and established hours to the HOS or direct supervisor, which may vary based on the game management schedule. Non-game management days require regular office hours for 12-month employees (7:30-4:00). Game management days require a no-later-than 9:00 am reporting time., • Adhere to all policies outlined in the Staff Handbook and communicated by the administration. Directives from the administration should be communicated in a positive and unified manner., • Follow all financial guidelines and policies as established by the finance department., • This position is evaluated per the school’s evaluation policy, this job description, and any follow-up or action items resulting from communication with the HOS or direct supervisor., • Perform other duties as assigned by the HOS or direct supervisor. Specific Requirements: • Develop and coordinate all HPCA athletic programs and ensure alignment with the school’s foundational statements and school policies., • Oversee the coaching development, implementation, and maintenance of the onboarding process for all coaches., • Ensure all current coaches know and follow hiring policies and procedures for potential assistant coaches., • Secure sufficient coaches for athletic teams and ensure coaching candidates have undergone the appropriate and designated application process., • Submit head coach (hiring and dismissal) recommendations for approval by your direct supervisor. Make the necessary coaching personnel changes as needed or directed., • Explore the addition and development of new athletic programs consistent with school policies and culture. Submit any program additions to your direct supervisor for approval., • Create and maintain the HPCA Athletic & Coaches Handbook, share it with the HOS and AHOS, and ensure that policies are updated and aligned with those in the HPCA Staff and Student Handbooks. Audits and updates need to be completed and submitted in June before each upcoming school year., • Ensure all programs and athletics personnel comply with the staff and student handbooks, the athletic handbook, and the policies and procedures adopted by the school’s leadership., • Promote cooperation among all athletic programs, coaches, and student-athletes. Every effort should be made to encourage, support, and promote multi-sport student-athletes., • Coordinate with academic administration or office personnel to provide eligibility lists and ensure they are updated with the appropriate organizations., • Develop, supervise, coordinate, and communicate all job responsibilities with the athletic administrative staff. Including but not limited to the Assistant Athletic Director and the Athletic Administrative Assistant, game day workers, game managers, etc., • Conduct yearly evaluations, in writing, of the Assistant Athletic Director and Athletic Administrative Assistant. Maintain records of those evaluations. These will need to be shared with the direct supervisor upon request., • Develop an “end-of-season” checklist/process for all coaches and conduct an “end-of-season” meeting with each head coach. Ensure all program items have been collected and inventoried., • Ensure coaches maintain an accurate inventory of their team’s equipment and submitted the AD’s office after each season., • Coordinate with the finance office on all coaching contract agreements and stipend payments. Ensure that stipend payments have not been made until all “end of season” process items have been completed., • Written evaluations of all head coaches’ performance, communicate evaluations to the coaches, and maintain records of those evaluations. Share findings with the direct supervisor upon request., • Maintain accurate records of team and student-athlete accomplishments., • Schedule all athletic events, or designate other personnel as needed, and ensure the athletic calendar is updated regularly., • Ensure the communicated blackout dates/scheduling adjustment guidelines are communicated and followed by all necessary department personnel., • Secure, confirm, organize, and communicate with game management/administration, pre-game logistics/programming, officials, money box needs, and security for home athletic contests. Request administrative presence at away games as needed., • Ensure accurate records of payouts to game management personnel are maintained and submitted., • Coordinate with the finance office for all check requests needed for game management personnel., • Communicate, organize, or assist concession vendors for home athletic contests if provided., • Conduct a minimum of monthly or bi-monthly meetings with athletic administration staff., • Coordinate with the scheduling coordinator to use GSBC facilities and follow GSBC-established guidelines for those facilities., • Member of the Hall of Fame Committee., • Ensure all athletic facilities (common areas, ATC, storage, locker rooms, concessions, fields, etc.) are clean, presentable, and organized at all times. Coordinate with the facilities director and relevant personnel/organizations to address maintenance needs across all athletic facilities., • Coordinate and communicate with off-campus athletic field providers to schedule and address logistical needs., • Stay current with all NCISAA guidelines and ensure all coaches comply., • Stay current on best practices for athletic department management., • Represent HPCA at the appropriate conferences and regional and state meetings., • Propose an annual budget to the HOS and finance office at a designated and communicated time from the administration, and adhere to all purchasing guidelines set by the finance office. Follow the established athletic budget as directed by the HOS and Finance Director., • Ensure that all athletic transportation is scheduled in accordance with administrative policies., • Coordinate with Advancement & Engagement for special events, media relations, promotion, and branding guidelines., • Coordinate with the athletic trainer and/or provider on all game-day and practice needs, expectations, and scheduling., • Confirm with the arbiter or referee association that officials are scheduled for all home athletic contests., • Conduct “end-of-season” or “end-of-year” athletic-specific surveys to parents. Coordinate with Advancement & Engagement for wording, formatting, and distribution., • Plan and conduct athletic award banquets/ceremonies. Ensuring all items needed for those ceremonies are ordered or obtained., • Instruct a class(es) if it is requested and needed by the school., • Attendance at specific school events as directed by the HOS.
