Position Overview We are seeking a motivated, organized, and dependable Receptionist / Front Desk Coordinator to serve as the first point of contact for students, families, and visitors. This role is essential to keeping the center running smoothly and creating a warm, professional environment. The ideal candidate has excellent communication skills, strong attention to detail, and enjoys working with students and families in an educational setting. This position requires a commitment to working Monday through Thursday from 3:00 PM–8:00 PM. Morning or early afternoon availability is also required to assist homeschool students, answer phones, respond to client communication, and support daily operations. This is a part-time position with some scheduling flexibility and the opportunity to work close to full-time hours depending on availability and business needs. Key Responsibilities • Greet students, parents, and visitors in a friendly and professional manner, • Answer phone calls, respond to inquiries, and assist families with scheduling, • Coordinate tutoring schedules, including bookings, rescheduling, and cancellations, • Maintain accurate student records, attendance, and payment information, • Provide information about tutoring services, programs, and pricing, • Assist homeschool students during morning or early afternoon hours, • Respond to parent and client communication throughout the day, • Assist with administrative tasks including filing, data entry, and office organization, • Help prepare educational materials and resources as needed, • Keep the reception and common areas clean, organized, and welcoming, • Support tutors, the office manager, and the owner with day-to-day operational needs, • Work collaboratively as part of a team-oriented environment, • Stay productive during slower periods by assisting with additional tasks and projects, • Step into tutoring sessions when needed if a tutor is late or unavailable, • Provide basic tech support and troubleshooting when technology or office systems are not working properly, • Work with the company CRM, scheduling systems, payroll processor, and Google Workspace tools, • High school diploma or equivalent required, • Previous receptionist, administrative, customer service, or education-related experience preferred, • Tutoring or teaching experience preferred, • Ability to tutor through Algebra I preferred, • Availability during morning or early afternoon hours to support homeschool students and answer client communication is required, • General technology proficiency and basic troubleshooting skills required, • Comfortable learning and using CRM, scheduling, payroll, and office management software, • Experience with Fresha, ADP, and Google Workspace is a plus, • Strong verbal and written communication skills, • Comfortable using Microsoft Office (Word, Excel, Outlook) and basic office equipment, • Excellent organizational and multitasking abilities, • Friendly, professional, and dependable demeanor, • Strong customer service mindset with a genuine desire to support students and families, • Guaranteed minimum of 30 hours per week, • Pay dependent on experience, • Opportunity to work close to full-time hours depending on availability and center needs, • No benefits provided at this time
