We are seeking a motivated and detail-oriented Transaction / Marketing Coordinator to join our growing commercial real estate team. This role is ideal for someone who thrives in a fast-paced environment and enjoys supporting both leasing transaction coordination and marketing initiatives. The Transaction / Marketing Coordinator will play an integral role in assisting agents, managing deal-related documentation, coordinating marketing efforts, and helping maintain the company’s professional brand presence. We are excited to add a dedicated in person 8:30 am - 5:30 pm Monday through Friday team member who is eager to contribute to the continued growth and success of our company. Position Responsibilities Marketing & Branding • Create, design, and manage marketing materials for the company and individual agents, including brochures, flyers, presentations, email campaigns, property packages, and site plans, • Keep the brochure marketing dashboard tracking sheet update to date and organized., • Maintain and update property listings across all marketing platforms, including the company website, LoopNet, CoStar, Buildout, Crexi, Canva, and other commercial real estate marketing sources., • Assist with social media management, content creation, and maintaining a social media calendar to promote company branding and property listings., • Ensure brand consistency and professionalism across all marketing channels and materials. Transaction Coordination • Coordinate lease and sales transactions from contract execution through closing., • Prepare, organize, and distribute transaction documents, including leases, amendments, commission agreements, contracts, and closing materials., • Track critical deadlines, contingencies, due diligence periods, escrow timelines, and closing dates to ensure timely completion of transactions., • Communicate regularly with agents, clients, title companies, attorneys, lenders, vendors, and other parties involved in the transaction process., • Maintain accurate transaction files and ensure all required documentation is complete and compliant with company standards., • Assist with collecting and organizing due diligence materials, tenant information, estoppel certificates, certificates of insurance, and closing documentation., • Coordinate signatures through electronic signature platforms and maintain executed copies of all agreements., • Provide agents and management with regular transaction status updates and assist in resolving issues that may arise during the transaction process. Agent Support & Coordination • Serve as a primary point of contact for agents’ marketing, transaction, and administrative support needs., • Prepare and distribute property marketing packages, proposals, offering memorandums, and presentation materials., • Willingness to learn commercial real estate terms and industry standards., • Pull meeting recordings to support documentation for agents following meetings, property reviews, and client discussions., • Review and maintain agent leasing folders to ensure all required documents, marketing materials, and transaction records are complete, accurate, and properly organized., • Manage and track lists or other internal reporting tools., • Provide support to the property management team as needed. Administrative Duties • Answer leasing lead phone calls as they come in and direct them to the correct agent., • Serve as the first point of contact for guests, vendors, and clients while maintaining a professional and welcoming office environment., • Organize and maintain company files, make labels, contracts, transaction records, and marketing collateral., • Attend weekly leasing meetings on Tuesday morning to hear insight and coordination with agents on needed items., • Provide backup support to other team members when necessary., • Assist with special projects and process improvement initiatives as requested., • Support the Executive Assistant in coordinating company events, including happy hours, holiday parties, open houses, vendor lunches, and corporate luncheons. Requirements • In office Monday through Friday 8:30am-5:30pm, • Professional appearance and demeanor., • Ability to work independently while maintaining strong organization, accuracy, attention to detail, and follow-through., • Experience with Canva, LoopNet, Buildout, CoStar, and other commercial real estate marketing platforms preferred., • Strong proficiency in Microsoft Office 365, including Outlook, Excel, Word, and PowerPoint., • Excellent time management, organizational, and multitasking abilities., • Strong written and verbal communication skills, including client relations and customer service., • Ability to exercise sound judgment, discretion, and professionalism in a fast-paced environment., • Positive, innovative, and solution-oriented mindset., • Willingness to obtain a Texas Real Estate License if required.
