Job DescriptionSalary: The National Grocers Association (NGA) is seeking a highly skilled and detailoriented Vice President, Finance and Administration to join its management team. Headquartered in Washington, DC, NGA is a 40+ yearold trade association representing the $250 billion independent supermarket industry. Our members are privately owned, communitybased businesses that play a vital role in neighborhoods across the country. NGAs mission is to champion the independent grocery industry through advocacy, collaboration, education, services, and connections. NGA also supports the industry through its affiliated 501(c)(3), the NGA Foundation. POSITION SUMMARY The Vice President, Finance and Administration is responsible for the overall financial management of NGA and the NGA Foundation, ensuring accurate application of U.S. Generally Accepted Accounting Principles (GAAP), strong internal controls, and timely financial reporting. This role oversees all accounting, finance, audit, tax, budgeting, and compliance activities and serves as the primary liaison with auditors, banks, and investment advisors. As a member of NGAs management team, the Vice President contributes to organizational strategy, safeguards financial assets, strengthens financial performance, and reduces risk. Working in close partnership with the Chief Operating Officer, this role also supports key administrative functions, including human resources and benefits administration. This position requires exceptional judgment, discretion, and adherence to strict confidentiality standards. A signed confidentiality agreement is required. KEY RESPONSIBILITIES Financial Management & Reporting • Develop, implement, and monitor internal controls, financial policies, and procedures to safeguard NGAs assets and operations., • Oversee all accounting functions, including monthly and yearend close, general ledger maintenance, accounts payable and receivable, budgeting, and financial reporting for NGA and the NGA Foundation., • Provide strategic financial analysis and guidance to senior leadership and department heads., • Prepare and present accurate, timely monthly and annual financial statements and reports., • Track and manage organizational assets to ensure proper accounting and reporting., • Coordinate with NGAs external accounting firm to prepare monthly interim financial statements., • Distribute financial reports to budget owners and lead monthly financial performance reviews., • Prepare financial report packages for the NGA Board, Foundation Board, and committees. Audit, Tax, Compliance & Grant Administration • Serve as lead staff contact for annual financial statement audits for NGA and the NGA Foundation., • Prepare and review audit schedules and respond to auditor inquiries in a timely manner., • Assist with preparation and filing of federal and state tax returns, including Form 990., • Maintain current knowledge of nonprofit regulatory and compliance requirements., • Serve as staff liaison to the Board Audit Committee., • Support NGAs government relations team with financial data required for lobbying and PAC reporting, as needed., • Oversee financial management of NGA Foundation federal grants, including expense tracking, payroll allocation, reporting, reimbursement drawdowns, and reconciliations. Budgeting & Financial Planning • Lead the annual budgeting process and midyear budget forecasting., • Collaborate with department leaders to align budgets with strategic goals., • Provide financial analysis and insights to support leadership decisionmaking. Cash Flow, Banking & Investments • Manage cash flow and monitor balances across operating and investment accounts., • Recommend transfers in accordance with approved financial and investment policies., • Ensure timely monthly bank reconciliations., • Serve as primary liaison with banks and investment advisors, regularly reviewing fees and services., • Serve as staff liaison to the Board Investment Committee., • Support annual membership dues invoicing and related reporting requirements. Administration & People Management • Support the COO in human resources administration, including payroll reporting, PTO accruals, and support for remote employees., • Lead and develop the finance and accounting team, including performance management and professional development., • Provide oversight of NGAs 401(k) plan and support fiduciary compliance., • Manage relationships with administrative vendors and review contracts and fees., • Oversee vendor and insurance contracts, including liability, cyber, and other organizational coverage. QUALIFICATIONS Education & Experience • Bachelors degree in Accounting or Finance required; CPA or MBA preferred., • Minimum of 5 years of seniorlevel accounting or finance management experience, preferably in a nonprofit environment., • Strong knowledge of nonprofit GAAP, particularly for 501(c)(6) and 501(c)(3) organizations., • Experience with federal grant accounting and reporting preferred., • Demonstrated experience managing staff and working with boards and committees. Skills & Competencies • Exceptional attention to detail and analytical skills., • Strong understanding of banking, cash management, and financial analysis., • High level of integrity, discretion, and sound judgment., • Excellent written, verbal, and interpersonal communication skills., • Advanced proficiency in Microsoft Excel and solid knowledge of Word, PowerPoint, Teams, and Outlook., • Familiarity with AI tools (including Copilot) is a plus; willingness to use approved AI tools is required., • Ability to manage multiple priorities, meet deadlines, and work independently while collaborating across teams.
