Job Description Job Overview: The Payroll & Benefits Administrator at Park Square Homes is responsible for managing the full scope of payroll processing, benefits administration, and HRIS management for the company. This role requires a high degree of accuracy, confidentiality, and technical proficiency — particularly with ADP payroll systems and HRIS platforms. In addition to core payroll and benefits functions, this individual will support HR event coordination, onboarding, and cross-functional HR projects. This is a hands-on, detail-driven role for someone who takes personal ownership of data integrity, compliance, and the employee experience surrounding pay and benefits. Key Responsibilities: Payroll Administration • Process full-cycle, multi-account company payroll for 150–200+ employees using ADP, ensuring accuracy, timeliness, and compliance with all applicable federal, state, and local payroll tax laws and regulations., • Conduct regular payroll audits to verify accuracy of hours, deductions, tax elections, garnishments, and benefit contributions — identifying and resolving discrepancies proactively before they reach employees., • Contact and assist departments in obtaining information required for payroll production and tax-related matters; resolve payroll questions and issues with professionalism and urgency., • Process all payroll-related changes including new hires, terminations, promotions, status changes, tax elections, voluntary deductions, and court-ordered garnishments., • Assist with preparation or oversight of state and government filings, including 5500s, ADP/ACP discrimination testing, and other compliance reporting as required., • Maintain accurate payroll records, reports, and documentation in compliance with company policies and applicable regulations. HRIS Management & Data Integrity • Serve as a primary administrator of the HRIS platform, maintaining accurate and current employee records including new hire setup, terminations, status changes, compensation updates, deductions, and benefits elections., • Perform regular HRIS audits and data integrity checks to ensure security controls are accurate and employee records reflect current, verified information., • Identify and implement HRIS system upgrades, process improvements, and automation opportunities that increase efficiency and data accuracy across the HR function., • Generate and distribute standard and ad hoc HRIS reports for HR leadership, Finance, and other stakeholders as needed. Benefits Administration • Administer all aspects of the company’s employee benefits programs, including medical, dental, vision, prescription drug, EAP, and worksite wellness programs., • Manage 401(k) retirement plan administration, leaves of absence (including FMLA), term life insurance, disability programs, and accidental death policies., • Reconcile benefits statements and process payments to vendors accurately and on schedule; audit departmental invoices for accuracy and compliance., • Work in conjunction with the benefits broker/consultant to develop company cost information, evaluate plan options, and prepare recommendations for management regarding cost-sharing between employer and employee., • Implement new plans and plan changes by collaborating with the broker to prepare employee communications, enrollment materials, and plan booklets., • Advise and counsel employees and managers on benefits eligibility, plan details, and enrollment processes; handle benefit inquiries and resolve complaints with urgency and discretion., • Maintain enrollment, application, and claims records for all benefit plans and ensure accurate data within all benefits platforms., • Ensure company compliance with ERISA, ACA, and all applicable federal and state regulations governing employee benefit programs., • Prepare and file reports required by federal and state agencies, including the IRS, Department of Labor, and relevant insurance commissioners., • Coordinate company benefits with government-sponsored programs and stay current on changes to state and federal laws affecting benefits; communicate necessary changes to management. HR Event Coordination • Coordinate and support HR-driven events including open enrollment meetings, new hire orientations, benefits fairs, employee recognition events, and company-wide HR initiatives., • Partner with HR leadership to plan and execute employee-facing events that reinforce Park Square Homes' culture, support engagement, and ensure employees are informed and connected to their benefits and resources., • Manage logistics, vendor coordination, communications, and follow-up for HR events from planning through execution. Employee Support & HR Operations • Serve as a knowledgeable, approachable point of contact for employee questions regarding payroll, benefits, PTO, leave, tax elections, and compensation — responding promptly and with discretion., • Assist with new hire onboarding and orientation, specifically regarding payroll setup, benefits enrollment, and HRIS access., • Process all HR-related invoices and ensure timely, accurate payment to benefits vendors and third-party administrators., • Gather information and manage the initial submission of Workers’ Compensation filings in a timely and thorough manner., • Support special HR projects and initiatives as assigned by HR leadership or executive leadership. Qualifications: • Minimum of 5 years of payroll administration experience required, with demonstrated proficiency in full-cycle payroll processing for a multi-account or multi-entity organization., • Extensive, hands-on experience with ADP payroll systems required — ADP Workforce Now or equivalent ADP platform strongly preferred., • Solid working knowledge of HRIS platforms required; experience with system administration, data integrity audits, and report generation preferred., • Demonstrated knowledge of payroll tax laws, employment law, benefits regulations (ERISA, ACA, FMLA), and applicable federal and state compliance requirements., • Experience administering comprehensive benefits programs including medical, dental, vision, 401(k), life insurance, disability, and leave programs., • Experience coordinating HR events, open enrollment, or employee-facing programs preferred., • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint); advanced Excel skills for payroll auditing and reporting preferred., • Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field preferred; equivalent experience considered., • SHRM-CP, SHRM-SCP, CPP (Certified Payroll Professional), or FPC (Fundamental Payroll Certification) preferred. Physical Requirements: • Prolonged periods of sitting at a desk and working on a computer for payroll processing, HRIS administration, and benefits management., • Frequent use of a computer, keyboard, and standard office equipment with high accuracy and attention to detail required., • Occasional movement throughout the office to support HR event coordination, employee onboarding, and benefits meetings., • Must be able to lift up to 15 pounds as needed for HR event setup or materials management., • Must maintain regular, reliable, and punctual attendance to support payroll processing cycles, benefits deadlines, and HR event commitments.
