Job DescriptionSalary: $28.00-$31.00 DEPARTMENT: Administration REPORTS TO: Director of Administration LOCATION: Ceres HQ FLSA STATUS: Regular, Full-Time, Non-exempt Position Summary The Operations Manager is responsible for overall management of Ceres facilities, particularly the Center for Food, Youth & Community, office management including reception volunteers, emergency preparedness, and the Centers role as a community resilience center (CRC). The Operations Manager develops and maintains operational guidelines and procedures and facility and equipment maintenance schedules and vendor contracts. They coordinate with departments such as HR, IT and Culinary Operations to facilitate effective management. This role is suited to someone who is organized, has excellent attention to detail, has some knowledge about equipment and facilities maintenance, and is a good people person who will be warm and welcoming with volunteers and community members. This role oversees various volunteers, including welcome/reception, repair/maintenance and those assisting with CRC functions. Essential Functions and Responsibilities Facilities and General Operations Management • Manages and schedules facility and equipment maintenance and repairs at both Ceres locations, including kitchen, office, HVAC and solar/battery microgrid; ensures all equipment is in safe, working order; negotiates contract terms and fees for repairs., • Schedules required inspections as needed., • Manages Ceres vehicle fleet including assisting Delivery Manager with maintenance and repair of Ceres vehicles, ensuring registrations are paid timely and up to date documentation is included in each vehicle., • Manages phone, security and fire systems, as well as ChargePoint EV stations., • Supports safety programs and ensure compliance with Ceres and federal/state safety standards to provide a safe work environment for all team members; ensures all first aid kits on the premises are stocked., • Manages equipment and supply needs, including furniture, telecommunications, AV, office equipment and supplies; serves as main point of contact for all equipment and maintenance vendors including cleaning services (including annual window cleaning and kitchen deep cleaning), waste collection, landscaping, printer and Internet service providers., • May be called on after hours if there is an equipment failure that needs immediate addressing., • Serves as main point of contact for outside groups seeking to book meeting rooms or events; ensures all outside groups have appropriate insurance., • Manages reception volunteers including training, scheduling, making sure they have projects to work on., • Manages the sale of items in the Ceres Store. Emergency Preparedness & Community Resilience Center (CRC) Coordination • Serves on CRC Stakeholder Advisory Committee (quarterly through 2028)., • Promotes and staffs community events at Center for Food, Youth & Community., • Serves as liaison to southwest Santa Rosa community., • Represents Ceres on county-wide Shelter Council, VOAD, COAD and relevant Emergency Food Groups., • Fully participates with a role on Incident Command Team., • Acts as facility host when Center is activated including oversees/schedules staff roles; interacts with external partners and ensures they have places to work; sets up Community Room/Client Resource Center as needed., • Other duties as necessary and required. Qualifications • Bachelors degree or equivalent work experience that contributes to successfully performing the key job functions., • Excellent communication skills: can communicate clearly, warmly and charismatically, both verbally and in writing, to engage a diverse group of people; bilingual in Spanish, required., • 2-years experience or more managing facilities; familiarity with building and equipment maintenance processes.., • Valid CA drivers license with a clean driving record may be required to use company vehicles on occasion., • Volunteer management experience is highly desirable., • Must be highly organized and possess strong attention to detail., • Can both anticipate and mitigate problems and make sound decisions under pressure., • Demonstrated ability to work collaboratively on a team and be self-motivated independently., • Must be comfortable with technology; proficient in Microsoft Office suite., • Demonstrates a good awareness of self and ability to self-assess., • Ability and desire to be in a work environment that values working as a team, relationships and giving and receiving honest feedback., • Ability to work occasional evenings and weekends, • A commitment to Ceres Community Projects mission and operating principles.
