Job Description Onsite Warehouse Specialist Department: Customer Service Reports To: Store Manager Location: Fort Worth Job Purpose: The Onsite Warehouse Specialist is responsible for managing Richards Supply inventory programs located onsite at customer facilities. This role ensures accurate stock levels, timely replenishment, and strong day-to-day customer relationships that improve efficiency and productivity. The position directly supports our purpose of helping customers overcome challenges while reinforcing our commitment to service, ownership, and follow-through KEY RESPONSIBILITIES Inventory Management & Accuracy • Monitor, replenish, and maintain dedicated inventory at assigned customer locations, • Perform routine cycle counts and audits to ensure inventory accuracy, • Adjust min/max levels based on usage trends and customer demand, • Identify slow-moving or obsolete inventory and recommend corrective actions, • Maintain organized, clean, and clearly labeled inventory areas Order Entry & Processing • Enter and process replenishment orders accurately using company systems (Profit21 or applicable ERP), • Coordinate with Inside Sales, Purchasing, and Warehouse teams to ensure timely fulfillment, • Track open orders and proactively communicate status updates to customers, • Verify order accuracy prior to delivery or restocking Problem Solving & Continuous Improvement • Identify inventory inefficiencies, stockouts, or overstock situations and propose solutions, • Recommend cost-saving or productivity-enhancing inventory adjustments, • Assist customers in improving workflow related to inventory storage and access, • Escalate recurring issues and collaborate internally to prevent future disruptions Customer Service & Communication • Serve as the primary onsite Richards Supply representative, • Build trusted, professional relationships with customer personnel at multiple levels, • Communicate clearly regarding order status, product substitutions, or supply chain challenges, • Respond promptly to customer needs and follow through to completion, • Represent Richards Supply with professionalism, humility, and service-mindedness Equipment Upkeep & Maintenance • Maintain vending machines, bins, shelving systems, or other managed inventory equipment, • Perform basic troubleshooting and coordinate service when necessary, • Ensure all equipment remains clean, functional, and professional in appearance, • Maintain company vehicle in clean and safe operating condition PERFORMANCE STANDARDS Be On Time • ≥98% on-time replenishment of managed inventory locations, • Same-day order entry for all completed site visits, • Respond to customer inquiries within standard response times, • Complete scheduled customer visits as planned Do It Right • Maintain inventory accuracy at managed locations, • Achieve target fill rate standards established by branch leadership, • Zero preventable stockouts due to oversight or inaction, • Accurate order entry with <1% correction rate, • Maintain clean, organized, and safety-compliant customer inventory areas Work As One • Proactively communicate inventory trends with Sales and Purchasing teams, • Participate in branch meetings and continuous improvement initiatives, • Maintain positive working relationships with customers, suppliers, and team members, • Support overall branch revenue growth and gross margin objectives, • Contribute to customer retention and expansion of managed inventory programs CLEAR LINE OF SIGHT Each role at Richards Supply supports our company goal: earning a “seat at the table” in our customers’ production and planning meetings. Responds quickly to all customer or co-worker inquiries or requests for support., • Builds daily trust-based relationships that elevate Richards Supply from vendor to valued operational resource. QUALIFICATIONS Required • Valid driver’s license with clean driving record, • Experience in inventory management, warehouse operations, or customer-facing service role, • Comfortable using tablets, web-based applications, and ERP systems, • Strong organizational skills and attention to detail, • Ability to work independently with minimal supervision, • Strong communication and relationship-building skills Preferred • Experience with industrial distribution or MRO products, • Familiarity with vending systems or managed inventory programs, • Working knowledge of Profit21 or similar ERP platforms, • Basic mechanical aptitude for light equipment troubleshooting Physical Requirements • Ability to lift up to 50 pounds regularly, • Frequent standing, walking, bending, and reaching, • Ability to operate company vehicle safely, • Occasional use of ladders or step stools, • Work in warehouse and production environments with varying temperatures WORK ENVIRONMENT • Primarily onsite at customer facilities (industrial, manufacturing, or construction environments), • Regular travel within assigned geographic territory, • Combination of warehouse, production floor, and office environments, • Exposure to noise, dust, and varying weather conditions during travel, • Use of company vehicle and mobile technology equipmentCompany DescriptionRichards Supply Co. is a family-owned business based in Waco, TX.
