The Role As Commercial Administrator, you'll be the first point of contact within our Active Fire team for preplanned works - working closely and effectively with engineers, clients, and contractors to keep our service running smoothly. You'll manage the end-to-end process: scheduling engineers' diaries, booking visits, prioritising urgent works, and issuing reports, all while ensuring response times and compliance targets are consistently met. Day to day, you'll answer telephone calls and queries, input engineer report sheets to Salesforce, keep the database and customer portals up to date, raise Purchase Orders, order parts, and complete weekly reporting on works carried out. It's a fast-paced, high-volume role at the operational heart of our fire safety business - ideal for someone who's organised, calm under pressure, and takes pride in getting things right for the customer. What We're Looking For We assess all candidates against our SKEB framework - the Skills, Knowledge, Experience, and Behaviours required to succeed in this role and contribute to our mission of keeping people safe. Skills • Strong organisational skills, able to manage multiple engineer diaries, and priorities simultaneously under pressure, • Confident telephone-based communication - comfortable answering calls and resolving queries, • Attention to detail when updating records, portals, and Purchase Orders, • A proactive, solutions-focused approach to prioritising urgent and emergency work Knowledge • Understanding of sceduling processes, including response-time compliance, • Working knowledge of Purchase Order processing and basic financial administration, • Familiarity with Salesforce or similar CRM/job management systems (desirable) Experience • Previous administration or coordination experience is essential, • Experience managing a high volume of calls or tasks in a fast-paced environment, • Experience scheduling or coordinating engineers, field-based staff, or contractors (desirable), • Experience in a reactive maintenance, fire safety, or facilities environment (desirable) Behaviours • Positive, enthusiastic and have a genuine can-do attitude., • Customer focused and committed to delivering a high-quality service., • Reliable, self-disciplined and able to take ownership of their responsibilities., • Calm and organised when dealing with urgent or competing demands., • Confident communicating with clients, engineers, subcontractors and colleagues., • Comfortable working towards KPIs and operational targets., • A natural problem solver who takes responsibility for finding solutions.
