SUMMARY The Director of Urgent Care and Operational Compliance is a senior leader responsible for overseeing daily operations of UMMA Health’s urgent care sites while ensuring regulatory and operational compliance across all clinic locations. This role includes managing audits (e.g., HRSA, health plans, and IPAs), leading site readiness for new clinics, supporting quality service delivery, and supervising onsite and contracted staff. The Director serves as the primary liaison for operational compliance and readiness across UMMA Health’s Federally Qualified Health Center (FQHC) sites. Essential duties Urgent Care Operations • Lead day-to-day management of UMMA’s urgent care services, ensuring timely, high-quality, patient-centered care., • Develop and maintain clinical workflows to enhance efficiency, reduce wait times, and improve patient experience., • Supervise hired and contracted clinical and non-clinical staff working within urgent care environments., • Ensure adequate provider staffing and shift coverage across all urgent care operating hours., • Develop and manage the monthly urgent care schedule/calendar, coordinating with providers, nursing staff, and administrative leads., • Coordinate urgent care staffing models in collaboration with clinical and HR leadership to ensure optimal coverage and scheduling., • Monitor operational performance indicators and implement strategies to address inefficiencies., • Oversee urgent care-specific vendor contracts, medical supply inventory, and equipment functionality., • Partner with billing and finance teams to support revenue cycle management for urgent care services., • Ensure compliance with OSHA, HIPAA, and all relevant urgent care regulations and licensing. Operational and Regulatory Compliance • Coordinate preparation and execution of audits and reviews including:, • Health plan and IPA facility audits, • Chart review audits (clinical quality and documentation), • HRSA Operational Site Visits (OSV), • Track and maintain current certifications and operational permits for all clinical sites, including:, • Business licenses, waste management certification, EPA ID, vaccine program registration, radiologic equipment registrations, and more., • Ensure appropriate posting and renewal of regulatory signage (e.g., patient rights, ADA notices, hours of operation)., • Conduct regular internal audits and site inspections to ensure clinic and mobile units meet local, state, and federal healthcare compliance standards., • Develop and maintain documentation systems that support audit readiness and regulatory reporting., • Establish and enforce policies and procedures for operational risk mitigation and compliance sustainability., • Serve as the liaison with city, county, state, and federal agencies on operational compliance matters., • Oversee emergency preparedness and management protocols across all clinic sites, including medical emergency codes (e.g., Code Blue, Code Red), fire evacuation, and lockdown procedures., • Develop and implement emergency response training to ensure all staff are equipped to respond to patient and workplace safety incidents., • Ensure clinics have the necessary equipment and signage for emergency scenarios and that drills are conducted and documented regularly. Clinic Readiness and Site Expansion • Lead operational preparation for new or expanded clinic sites, including procurement and installation of:, • Medical and administrative equipment, • Clinical supplies, • Emergency response materials, • Coordinate with Facilities, IT, and vendors to ensure clinics are fully functional upon opening., • Provide regular compliance and urgent care operations updates to executive leadership., • Support organization-wide emergency preparedness planning and operational continuity efforts., • Participate in strategic planning sessions and special projects related to clinic optimization and expansion.SUPERVISORY RESPONSIBILITY, • Supervise a team of urgent care and compliance support staff, including managers, medical assistants, and/or LVNs., • Oversee recruitment, training, and performance management of operational personnel. The environment for this position is medical clinic that is clean and comfortable. It may include some minor annoyances such as noise, odors, drafts, etc. The incumbent is in a non-confined office-type setting in which he or she is free to move about at will. In addition, the incumbent may travel via personal vehicle or public transportation throughout the community. POSITION REQUIREMENTS These specifications are general guidelines based on the minimum experience normally considered essential to the satisfactory performance of this job. To perform effectively in this position, the incumbent must have: Education & Experience • Certified Medical Assistant with extensive operational experience or LVN license required, • Minimum of 5 years of progressive leadership experience, preferably in an urgent care or outpatient clinic setting., • Prior experience in a FQHC or community health environment strongly preferred., • Demonstrated experience with regulatory audits, health plan reviews, and operational readiness., • Strong knowledge of FQHC operations, urgent care workflows, and regulatory requirements., • Effective leadership and team-building skills, including managing multidisciplinary teams., • Excellent organizational, time management, and project planning skills., • Strong verbal and written communication skills., • Ability to work across multiple teams and lead change in a dynamic healthcare environment., • Commitment to service, equity, and community wellness. These skills would be the result of a combination of education and experience equivalent to a bachelor’s degree that included courses in business, public health, English, accounting, computer skills, supervision and similar, and several years of progressively responsible experience in a medical/clinic office or similar. The incumbent must be able to perform this job safely, without endangering her/his health and safety or those of others.
