Job Description The LMS & Training Coordinator owns the day-to-day administration, configuration, and continuous improvement of ReadyOne Industries' Learning Management System (LMS) — currently Absorb LMS — while also serving as the operational backbone of the Training Center. This role supports ReadyOne University's mission by ensuring every course, enrollment, completion record, and training document is accurate, accessible, and audit-ready at all times. Reporting to the HR Training and Recruitment Manager, the LMS & Training Coordinator works cross-functionally with Production, Quality, Engineering, Safety, and HR to schedule and coordinate trainings, manage LMS content libraries, track compliance timelines, and prepare documentation packages for AbilityOne, DLA, DCAA, TWC, OSHA, and internal audits. This is a detail-oriented, systems-driven role for someone who thrives at the intersection of technology, training logistics, and compliance. Essential Duties and Responsibilities LMS Administration & Configuration • Serve as the primary system administrator for Absorb LMS — manage user accounts, roles, permissions, enrollment rules, course assignments, and reporting configurations., • Build, configure, and publish courses, curricula, learning paths, and assessments in the LMS; upload SCORM, xAPI, video, PDF, and other content formats., • Set up and manage automated enrollment rules, due-date reminders, escalation notifications, and completion certificates for all active training programs., • Maintain the LMS course catalog — organize content libraries (ISO, Manufacturing, Safety, Leadership, HR Compliance, and ReadyOne University tracks) and ensure course metadata, descriptions, and categorization are current., • Configure bilingual (English/Spanish) course versions and ensure language settings are correctly assigned by user profile., • Troubleshoot LMS technical issues for learners and administrators; escalate unresolved issues to the LMS vendor with full documentation of the problem and steps taken., • Monitor LMS system health, uptime, and data integrity; perform regular audits of user records, completion data, and course versions to identify and correct discrepancies., • Manage integrations between the LMS and other HR systems (e.g., Paycom) to maintain accurate employee training records. LMS Implementation & Continuous Improvement • Lead or support future LMS upgrades, migrations, and new feature rollouts — including requirements gathering, vendor coordination, user acceptance testing, and change management communications., • Develop and maintain LMS user guides, quick-reference cards, and video tutorials for learners, supervisors, and content administrators., • Identify opportunities to improve learner experience, completion rates, and reporting efficiency; recommend and implement LMS configuration changes with approval from the HR Training Manager., • Stay current on Absorb LMS product updates, new features, and best practices; attend vendor webinars and training as needed., • Research and recommend new LMS content library subscriptions or third-party content integrations that support ReadyOne University curriculum gaps. Training Coordination & Scheduling • Coordinate and schedule all instructor-led, virtual, and blended training sessions across the Training Center, production floor, and off-site locations — including new hire orientation, Phase I and Phase II sewing bootcamp, supervisor/leads training, safety training, and ReadyOne University courses., • Build and maintain the master training calendar; communicate upcoming sessions to employees, supervisors, and HR in advance., • Reserve training rooms, equipment, and materials; prepare and distribute pre-training communications, attendance rosters, and post-training evaluations., • Track enrollment and attendance for all training sessions; follow up on no-shows, incomplete assignments, and overdue compliance courses., • Coordinate with the Training Center Supervisor and Sewing Center Trainers on bootcamp cohort scheduling, phase-gate timelines, and production transition dates., • Coordinate with external training vendors, certification bodies, and grant-funded program partners on scheduling, invoicing, and deliverable tracking., • Ensure all SMO Phase I and Phase II training timelines (per HR compliance memo) are reflected in the LMS with automated reminders and supervisor notifications. Training Center Operations Support • Maintain the Training Center's physical and digital filing systems — ensure all training records, sign-in sheets, checklists, certifications, and PAF documentation are organized, complete, and stored per ReadyOne records retention policy., • Upload completed Phase I and Phase II documentation, ROFM7200-7 checklists, and PAF records to Paycom and/or the LMS in a timely manner., • Support the Training Center Supervisor with administrative tasks — printing materials, ordering supplies, preparing trainee packets, and maintaining training station inventories., • Maintain an accurate roster of active trainees and their current phase, operation certifications, and assigned production line., • Assist with onboarding logistics for new Training Center hires — LMS account creation, course assignments, orientation scheduling, and equipment setup. Audit Readiness & Compliance Documentation • Maintain training records in a state of continuous audit readiness — all completion records, checklists, certifications, and supporting documentation must be accessible, accurate, and current at all times., • Prepare training documentation packages for AbilityOne / SourceAmerica, DLA, DCAA, OSHA, TWC Skills Development Fund, and internal quality audits — including completion reports, training matrices, attendance records, and curriculum documentation., • Generate LMS compliance reports on a regular cadence (weekly, monthly, quarterly) and distribute to HR, Safety, Production, and Quality leadership as required., • Monitor and report on overdue training, expiring certifications, and compliance gaps; escalate unresolved gaps to the HR Training Manager and relevant department heads., • Maintain training matrices for all roles — mapping required courses to job titles and tracking completion status by employee., • Ensure all training documentation meets AbilityOne ODLH (direct labor hours) recordkeeping requirements and supports accurate disability ratio reporting., • Serve as the point of contact for auditor requests related to training records — pull, organize, and present documentation efficiently and professionally., • Support HR in responding to corrective action requests related to training deficiencies identified during audits. Reporting & Analytics • Build and maintain LMS dashboards and scheduled reports for HR, Training Center, Production, and Safety leadership — covering completion rates, time-to-completion, compliance status, and learner progress by department, role, and cohort., • Compile and submit training data for TWC Skills Development Fund grant reporting, including participation counts, completion rates, and pre/post wage data., • Track ReadyOne University program metrics — bootcamp graduation rates, certification yield, post-training retention, and supervisor satisfaction scores., • Maintain a training activity log and prepare periodic summaries for leadership review., • Perform other duties and responsibilities as required or assigned. Required Qualifications Education Associate's degree required; Bachelor's degree in Human Resources, Business Administration, Information Technology, Instructional Design, Education, or a related field preferred — or equivalent combination of education and relevant experience. Experience • Minimum two (2) years of direct LMS administration experience — configuring users, enrollments, courses, reports, and integrations in a cloud-based LMS platform., • Demonstrated experience with at least one enterprise LMS platform; Absorb LMS experience strongly preferred. Other qualifying platforms include Cornerstone, Docebo, TalentLMS, Moodle, SAP SuccessFactors Learning, or comparable systems., • Minimum one (1) year of experience in training coordination, HR operations, or administrative support in a manufacturing, healthcare, government contracting, or similarly regulated industry., • Demonstrated experience preparing documentation or reports for compliance audits — internal, regulatory, or government contract., • Experience uploading, organizing, and managing digital training records in an HRIS or document management system (Paycom experience a plus). Technical Skills • Proficient LMS administration skills: user management, course building, enrollment automation, reporting, SCORM/xAPI content uploads, and system troubleshooting., • Strong Microsoft 365 proficiency — Excel (pivot tables, VLOOKUPs, conditional formatting), Word, PowerPoint, Outlook, Teams, and SharePoint., • Familiarity with e-learning authoring tools (Articulate Storyline, Rise, iSpring, or comparable) to support basic content updates — full instructional design not required., • Ability to build clear, accurate reports and dashboards from LMS and HRIS data., • Comfortable learning new software platforms quickly and independently. Skills & Abilities • Bilingual English/Spanish (verbal and written) required — must be able to communicate, document, and support training delivery in both languages., • Exceptional attention to detail and organizational skills — able to manage multiple concurrent deadlines without errors., • Strong written communication skills — able to draft clear emails, user guides, and compliance reports., • Proactive and self-directed — able to identify gaps, flag issues, and take action without waiting to be asked., • Comfortable working in a fast-paced manufacturing environment with shifting priorities., • Discretion and professionalism when handling confidential employee records. Preferred Qualifications • Absorb LMS administrator certification or equivalent LMS vendor training credential., • Experience supporting AbilityOne, SourceAmerica, or other federal disability employment program compliance., • Familiarity with SCORM 1.2, SCORM 2004, or xAPI (Tin Can) standards., • Experience with TWC Skills Development Fund or similar state workforce grant programs., • SHRM-CP, PHR, or other HR certification., • Experience in a government contracting environment (DLA, DoD, or similar).
